The company is continuously expanding and we are currently seeking a Project Assistant, for our branch in Selkirk, NY

  • This position is not remote.
  • Monday - Friday 8:00 am-4:00pm

Job Summary

A Project Assistant is responsible for supporting the planning, execution, and billing of projects under the direct supervision of the Project Management team.

Responsibilities:

  • Assist Project Management Teams in the planning and execution of projects by coordinating various project paperwork, activities, resources, timelines, and project set-up folders.
  • Maintain accurate project documentation, including opportunities, quotes, project plans, schedules, status reports, and project set-up folders.
  • Track project shipping documents and other paperwork such as waste manifests, daily field reports, and safety related forms from project beginning to completion.
  • Provide Project Management with clear and concise status of project billings, collections, and AR from assigned Clients.
  • Act as a liaison between Project Management and Client AP depart.to resolve issues that can result in billing or payment delays.
  • Maintain an exceptional high level of accuracy and attention to detail with all assignments.
  • Assist Project Management with providing world class customer service with our Clients at all times.
  • Ensure that time sensitive tasks are completed in a timely manner to meet regulatory and Sun Environmental policies.
  • Work closely with your assigned Project Management team to foster a collaborative and positive working environment.
  • Support the entire Sun Environmental team in achieving an injury free workplace, and all other goals and objectives.

Qualifications:

  • Associates degree in a related field preferred (e.g., business, project management, communications, environmental).
  • Proven experience in project coordination or a similar role.
  • Experience with project management (CRM) or waste tracking tools and software preferred.
  • Proficient in MS Office Suite
  • Familiarity with accounting/billing and quoting software.
  • Strong organizational skills.
  • Excellent communication and interpersonal abilities.
  • Analytical mindset with a keen attention to detail.
  • Ability to adapt to changing priorities and thrive in a fast-paced environment.
  • Excellent time management skills with a proven ability to meet deadlines.
