Job description

Our client, a private investment firm, is seeking a Project Assistant to support the Director of Real Estate with organizing project activities, document management, schedule tracking, invoicing and functioning as a coordinator for all things construction. This is an exciting role for someone that likes when no two days are the same. The ideal candidate is extremely organized with a keen eye for detail, a proactive self-starter with entrepreneurial spirit.


Please note: this role is mostly remote unless traveling to a job site locally/regionally (up to 25%)


Responsibilities:

  • Provide coordination and project support to the Director during multiple construction projects.
  • Provide communication oversight between the Director, internal departments, and external partners.
  • Track schedules, maintain reports and invoices, and coordinate expense reimbursements.
  • Confirm delivery of materials, assist with onsite project support if needed locally and follow up with tradesmen, brokers, leasing or construction team for repairs and deliveries.
  • Coordinate with vendors, track & maintain records (leases, rent rolls, contracts, insurance) and archive project documents.
  • Track payments, invoices, and change orders to maintain adherence to the budget.


Job requirements:

  • Entrepreneurial spirit and enjoys a busy role with constantly changing priorities
  • Extremely detailed and highly organized
  • Resourceful and proactive
  • 3-5 years of experience in a professional support setting (admin, operations, etc)
  • Able to travel (locally, regionally – day trips – 25% of the role but ebbs and flows)
  • MS Office, especially Excel
  • College degree strongly preferred
  • MUST have a car and able to travel if needed
