Job description

Position Summary
The Project Administrator provides critical administrative, documentation, and communication support to ensure the successful execution of construction projects. This role partners closely with project managers, field teams, owners, design teams, and subcontractors to maintain accurate records, streamline workflows, and support project delivery from preconstruction through closeout.
Key Responsibilities
Prepare, edit, distribute, track, and file project correspondence including letters, memos, reports, drawings, and specifications.
Manage construction documentation such as Letters of Intent, Subcontract Agreements, Purchase Orders, Change Orders, Owner Change Orders, CCDs, Owner Reports, invoices, meeting minutes, submittals, and RFIs.
Maintain document control systems to ensure accuracy, compliance, and accessibility.
Coordinate hard-copy printing and material distribution for field staff as needed.
Support project closeout and punch-list activities in collaboration with the project team.
Assist the CM, PM, APM, and Superintendent with all documentation, communication, and organizational needs.
Provide administrative support to Owners, Design Teams, and Subcontractors.
Support the Preconstruction/Estimating Department with subcontractor prequalification and CCIP verification (enrolled and excluded).
Provide receptionist backup, process incoming mail, and perform additional duties as assigned.
