Description

The Project Administrator (internal title of "Client Operations Assistant (Americas)") supports project administration and client operations activities across North, Central and South America. This role works closely with project managers, finance team, sales operations, and consultants to help ensure projects, billing activities, reporting, and operational processes run smoothly.

Job Responsibilities

  • Project and Client Operations Support - including project administration in SAP, timeline and resource updates, coordinate project-related cost allocations activities with Finance.
  • Sales Operations - including client/supplier registrations and support for client portals.
  • Travel & Expense Administration - including review of submitted expense reports, assist staff with expense report issues, train staff in travel expense module
  • Accounts Receivable and Billing Support - including assisting with customer invoices, maintain billing items, support invoice follow-up, coordinate with internal stakeholders to resolve billing discrepancies.
  • Management Support - including gathering, tracking and reporting on various data points.

Qualifications

  • High school diploma or equivalent, bachelors degree preferred
  • 2+ years experience in project coordination/administration
  • Experience in operations, finance administraton or sales support helpful
  • ERP system experience, SAP preferred
  • Proficient in Microsoft Excel and other Microsoft Office applications

Skills

  • Strong oral skills (English), proficiency in Spanish a plus
