Position Description

Administrative Assistant role supporting daily office operations and team coordination. Responsibilities include managing administrative tasks, facilitating clear communication across the organization, and ensuring efficient workflows. The position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities with professionalism and discretion. Key duties also involve coordinating travel arrangements and managing housing accommodations for employees, visitors, and company events. 

Key Responsibilities 
  • Provide administrative support to leadership and staff, including scheduling, calendar management, and meeting coordination. 

  • Prepare and edit correspondence, reports, presentations, and other documents as needed. 

  • Answer and direct phone calls, emails, and inquiries in a professional and timely manner. 

  • Maintain accurate records, files, and databases with a high level of confidentiality. 

  • Coordinate all travel arrangements, including booking flights, ground transportation, and accommodations. 

  • Manage housing accommodations for visiting employees, contractors, and guests, ensuring smooth check-in, check-out, and comfort during their stay. 

  • Process travel reimbursements and expense reports in a timely manner. 

  • Coordinate daily lunch for all employees enrolled in the lunch program. 

  • Assist with onboarding new employees, including preparing materials and scheduling training sessions. 

  • Manage office supplies, equipment, and vendor relationships. 

  • Support special projects and other duties as assigned to ensure smooth operations. 

  • Coordinate monthly and quarterly employee engagement activities. 

Qualifications Required 
  • High school diploma or equivalent

  • 2+ years of administrative experience, preferably in a professional office setting. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. 

  • Strong organizational skills with exceptional attention to detail. 

  • Excellent written and verbal communication skills. 

  • Ability to handle confidential information with discretion. 

  • Demonstrated ability to manage multiple priorities and deadlines. 

  • Professional demeanor with customer service orientation. 

Preferred
  • Associate or bachelor's degree preferred
  • Bilingual (Spanish/English)
  • Experience using SAP CRM
  • Experience serving as an office assistant or executive assistant.
