Job description

Position Title: Administrative Assistant
Salary Range: $55,000-$70,000 / Year, DOE
Be the person who keeps a busy construction office moving forward. We are seeking an organized, proactive Administrative Assistant to support the day-to-day operations of an established federal construction contractor. This role will work closely with the President, Office Manager, and project teams, handling everything from subcontractor documentation and scheduling to onboarding, office coordination, and administrative support. With exposure across operations, accounting, HR and project administration, this is an opportunity to build a career rather than stay boxed into a traditional administrative role.
The ideal candidate has at least one year of administrative experience within the construction industry and knows how to confidently follow up, stay organized and get information from busy people without letting details fall through the cracks.
Responsibilities
  • Follow up with subcontractors to collect closeout documents, certified payroll documentation, and other required project information
  • Support the Office Manager with administrative responsibilities and gradually assist with accounts payable, accounts receivable, and invoicing functions
  • Coordinate calendars, schedule interviews, and provide administrative support for recruiting and employee onboarding
  • Order equipment, coordinate laptop setup, and help new employees gain access to Procore, Microsoft applications, and other internal systems
  • Manage incoming calls, scheduling, office supplies, and general clerical needs to keep daily operations running smoothly
  • Coordinate with the company's IT provider, including assisting employees with help desk tickets and technology-related requests
  • Assist with website project updates, confidential HR information, and additional administrative projects as needed

Requirements
  • 1+ years of administrative experience within the construction industry
  • Experience working for a general contractor or subcontractor and an understanding of how construction teams operate
  • Strong organizational skills with the ability to manage multiple priorities, follow up consistently, and keep important details on track
  • Confident communication skills and the tact to work effectively with project managers, superintendents, subcontractors and senior leadership
  • High level of discretion and professionalism when handling confidential employee, HR and compensation information
  • Practical, resourceful and proactive approach with the willingness to jump in wherever support is needed
  • Procore, QuickBooks, or certified payroll exposure is preferred but not required
