Project Overview: Oakville GO station provides critical transport infrastructure and requires improvements and modernization to support an increased number of passengers and enhance operational performance of the network. The project will include station building upgrades, upgraded platform works, accessibility improvements and parking lot improvements.

The Kenaidan Murphy Joint Venture (KMJV) has been awarded the construction manager contract to help inform the detailed design, and provide construction management advice, for upgrades to Oakville GO station during the project development stage. The successful candidate will assist with contract administration, subcontract documentation, change management, cost reporting, commercial correspondence, procurement records, and document control while ensuring accurate and organized project records are maintained. How will you contribute to the team. To perform this role successfully, the candidate will be responsible for, but not limited to, the following: Provide administrative support to the Commercial Manager and broader project commercial team.

Assist with the preparation, distribution, and tracking of subcontracts, purchase orders, change orders, and other commercial documentation. Maintain organized and accurate commercial, contractual, procurement, and project records. Track subcontractor documentation, including executed agreements, insurance certificates, bonds, statutory declarations, and other required submissions.

Assist with subcontractor onboarding and ensure required documentation is received and properly filed. Support the administration and tracking of change notices, requests for quotation, change orders, and related approvals. Maintain logs for contracts, purchase orders, changes, claims, notices, and commercial correspondence.

Assist with the preparation of monthly commercial reports, cost reports, forecasts, and project status updates. Support the review and processing of subcontractor and supplier invoices, payment applications, and supporting documentation. Coordinate with project teams to confirm quantities, progress, approvals, and documentation required for payment processing.

Assist with procurement activities, including preparing bid documentation, issuing requests for quotation, and maintaining bid records. Prepare meeting agendas, take minutes, and track action items for commercial and procurement meetings. Draft and format commercial correspondence, notices, reports, and other project documentation.

Coordinate with subcontractors, suppliers, consultants, and internal stakeholders to obtain outstanding information and documentation. Ensure project records are maintained in accordance with company procedures, contractual requirements, and audit standards. Assist with project closeout activities, including the collection and organization of final commercial documentation.

Support the identification and escalation of missing documentation, outstanding approvals, and potential commercial risks. Perform general administrative duties required to support the successful delivery of the project. Education and Experience: Diploma or degree in Construction Management, Engineering, Quantity Surveying, Business Administration, Commerce, Finance, Accounting, or a related field.

Two or more years of experience in commercial administration, contract administration, project coordination, procurement, accounting, or administrative support within a construction or infrastructure environment. Previous experience supporting civil, transportation, transit, rail, infrastructure, or public-sector projects is considered an asset. Experience working with subcontracts, purchase orders, change orders, invoices, payment applications, and commercial documentation is preferred.

Familiarity with Construction Management, Design-Build, Progressive Design-Build, or Joint Venture project environments is considered an asset. Experience working with Metrolinx, GO Expansion, TTC, municipal, provincial, or other public-sector clients is considered an asset. Strong organizational skills with the ability to manage multiple priorities, deadlines, and document requirements.

Strong attention to detail and a commitment to maintaining accurate and complete records. Effective written and verbal communication skills. Ability to work collaboratively with project teams, subcontractors, suppliers, and other stakeholders.

Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and Teams. Experience using document management, project management, accounting, or contract administration systems is considered an asset.
