Position Summary

Family First is seeking a highly organized, proactive marketing and programs coordinator to support the chief marketing & programs officer (CMPO) and the organization's broader marketing and program ecosystem. This role sits at the intersection of three functions: executive support, marketing/program operations, and project collaboration. This is a behind-the-scenes role with front-row impact — the person in this seat keeps the engine running smoothly so the CMPO and program teams can focus on what they do best.

This individual is equally at home in a brainstorming session, building a Monday.com dashboard, tracking down a contractor deliverable, vetting potential partnerships or conducting project research. This team member will bring order to complexity, communicate with clarity, and act without waiting to be asked. Trustworthiness and a genuine desire to serve programs are invaluable for this role.

The marketing and programs coordinator reports directly to the CMPO.


Key Responsibilities:Communication & Time
  • Manage the CMPO’s time with precision and good judgment — assessing priorities, resolving conflicts, and ensuring every meeting has clear purpose and preparation.
  • Monitor Monday.com and Slack on behalf of the CMPO, flagging emergencies and routing urgent items so nothing time-sensitive falls through the cracks.
  • Design presentations in Canva on behalf of the CMPO for internal leadership, external partners, and program initiatives.


Project Collaboration
  • Create clarity and momentum for program projects and meetings — building timelines, agendas, and task lists so the right people always have the right information in advance.
  • Attend key meetings, review AI notes and tasks for accuracy, convert meeting outcomes into Monday.com tasks, and follow up to ensure accountability.
  • Build, maintain, and continuously improve Monday.com dashboards that give the CMPO and program teams real-time visibility into priorities, progress, and bottlenecks


Contractors and Research
  • Research potential partnerships across platforms, evaluating reach, engagement, values alignment, and audience fit; maintain accurate CRM records covering communication history and campaign timelines.
  • Research exploratory initiatives for the CMPO.
  • Vet potential contractors and serve as the primary point of contact for program contractors — managing communication, timelines, billing, and deliverable tracking.


Qualifications and Experience
Education
  • Bachelor’s degree preferred; communications, marketing, business, or nonprofit management preferred.


Experience
  • 3–5 years of experience in operations, project coordination, executive support, or program management.
  • Demonstrated track record managing multiple projects, vendors, or contractors simultaneously.
