Job Description:

I. Position Summary:

The Education Program Coordinator is an integral member of the Professional Development Team and serves as the primary point of contact for student onboarding processes and academic affiliation activities across Hebrew SeniorLife. This position serves as a central liaison for students, faculty, preceptors, and academic partners to facilitate onboarding requirements and support a seamless transition into clinical learning experiences.

The coordinator is responsible for coordinating and maintaining student onboarding activities, academic affiliation agreements, and educational pathway initiatives while ensuring effective collaboration between departments and educational partners. Responsibilities include maintaining onboarding records and secure program files, tracking requirements and timelines, supporting educational partnerships, and facilitating communication related to academic programming and student placements.

In addition, the Education Program Coordinator provides administrative and operational support to the Director of Professional Practice and the Professional Development Department. Responsibilities include performing clerical and administrative duties associated with educational programming operations; coordinating meetings and department events; managing purchasing and supplies; scheduling activities; reconciling expenses; preparing operational and accreditation-related reports; greeting students and visitors; responding to inquiries; and supporting department workflow and special initiatives.

This position requires strong organizational skills, attention to detail, sound judgment, and the ability to prioritize and manage multiple responsibilities in a fast-paced healthcare environment. Other duties may be assigned as needed.

II. Core Competencies:

  • Proficiency in Windows-based computer systems and software applications including Microsoft Office 365 (Word, Excel, Outlook, PowerPoint), Adobe Acrobat Professional, and Zoom.
  • Demonstrates strong project coordination, organizational, and time-management skills with the ability to prioritize and manage multiple assignments, projects, and competing deadlines simultaneously.
  • Creates and maintains efficient administrative processes and workflows to support departmental and interdepartmental operations while ensuring high administrative and service quality.

  • Possesses strong problem-solving and critical thinking abilities with the capacity to define issues, interpret information, evaluate options, and recommend solutions.

III. Position Responsibilities:

Student Onboarding and Academic Partnership Coordination

  • Coordinate student onboarding activities for clinical students, interns, and educational partners across Hebrew SeniorLife
  • Serve as primary point of contact for students, faculty, program coordinators, and preceptors regarding onboarding requirements and processes
  • Track and maintain onboarding documentation including health requirements, compliance materials, background checks, and required onboarding records
  • Monitor onboarding status and communicate outstanding requirements to students and academic partners
  • Maintain student tracking systems and onboarding records
  • Coordinate onboarding timelines to support clinical placement schedules
  • Assist with management and tracking of academic affiliation agreements and contracts
  • Maintain accurate records related to educational partnerships and contract renewals
  • Collaborate with internal departments to support student placement processes and onboarding workflows

Professional Development Administrative Support

  • Provide administrative support to the Professional Development Department and Director of Professional Practice and Educational Programming
  • Coordinate meeting scheduling, room reservations, educational materials, and department logistics
  • Support educational programming preparation and department initiatives
  • Assist with committee coordination, meeting preparation, and meeting minutes as assigned
  • Assist with ordering supplies and maintaining department resources
  • Support annual department events and educational programming activities

Additional Responsibilities

  • Complete required annual trainings and competencies
  • Participate in departmental and organizational meetings
  • Identify opportunities to improve workflows and administrative efficiencies
  • Perform additional duties as assigned
IV Qualifications
  • Associate degree required; Bachelor's degree preferred in Healthcare Administration, Education, Business Administration, or related field. Candidates with five (5) or more years of relevant administrative, healthcare, academic, or educational coordination experience may be considered in lieu of degree requirements.
  • Minimum one (1) year of experience in administrative support, healthcare, academic coordination, student onboarding, educational programming, or a related field required; experience within healthcare or academic settings preferred.
  • Knowledge of administrative methods, office procedures, scheduling processes, documentation management, and clerical support functions required.
  • Experience with student onboarding processes, educational coordination, academic partnerships, and contract or documentation tracking preferred.
  • Proficiency in Microsoft Office 365 applications including Word, Excel, Outlook, PowerPoint, Zoom, and Adobe Acrobat, with the ability to effectively utilize scheduling, communication, and data management systems.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities, maintain accurate records, and meet deadlines in a fast-paced environment.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, analyze situations, and determine appropriate actions within established guidelines and standard practices.
  • Strong interpersonal, communication, and customer service skills with the ability to work collaboratively and professionally with students, faculty, staff, leadership, and external partners.
  • Demonstrated ability to work independently, manage workflows efficiently, and complete assignments with a high level of quality, professionalism, and attention to detail.
