Mission of the Position

The Outreach Administrator provides administrative, programmatic, volunteer, and event support for the Outreach Ministry at St.   Luke's Westheimer Campus. Working closely with the Director of Outreach, church staff, volunteers, ministry teams, and community partners, this position helps plan, coordinate, and execute outreach initiatives that support St. Luke's mission of serving the Houston community. The Outreach Administrator ensures efficient ministry operations to support the Director of Outreach for effective communication, successful events, and meaningful volunteer engagement.  This position is 20-25 hours a week with a flexible schedule, that may include some weekends and evenings. 

  

Essential Duties and Responsibilities Basic Administrative Support
  • Coordinate and support ministry meetings by preparing agendas, maintaining calendars, recording minutes, and facilitating follow-up communications. 
  • Manage administrative logistics for outreach events, including room reservations & setup, catering, registrations, and communications. 
  • Maintain Outreach and church-wide event calendars to ensure accurate scheduling and communication of programs and events. 
  • Support development of newsletters, website updates, email campaigns, and other digital and print communications.

Volunteer Administrative Coordination

  • Partner with the Director of Outreach to recruit, equip, schedule, and support volunteers for Outreach initiatives, programs, and events.
  • Connect members and regular attenders with service opportunities through St. Luke's Community Partners, Houston Project grant recipients, and other organizations when appropriate.
  • Create and maintain event registrations and manage volunteer and impact metrics using church management software.
  • Maintain regular communication with Community Partners to identify needs that may be supported by St. Luke's.

Program Administrative Support

  • Coordinate logistics, communications, supplies, registrations, and volunteer staffing for outreach programs and community service projects. 
  • Collaborate with ministry teams to develop meaningful Outreach opportunities and help facilitate Outreach events across ministries.
  • Support planning and execution of recurring volunteer initiatives, seasonal drives, and service events.        
  • Manage collection drives by organizing donations, maintaining storage areas, coordinating distribution efforts, and communicating needs to ministry groups. 
  • Coordinate Spotlight Table operations, including scheduling, volunteer coverage, signage, and partner promotion.

Additional Responsibilities 


Respond to and help resolve inquiries from individuals seeking referral information.

Maintain Outreach files, records, and related documentation.

Perform other duties as assigned 

Requirements

Education: 

High School diploma or GED


Experience:

Strong personal relationship with Jesus

Familiarity with Outreach ministry, church ministry, volunteer coordination, or nonprofit work.

Experience coordinating events, registrations, communications, or volunteer teams.
