Job description

Schedule: Monday - Friday, 8:00 AM - 12:00 PM / 1:00 PM - 5:00 PM

Pay: TBD

Education level: High school diploma or general education degree (GED); Experience with computerized check writing program and bank account reconciliation needed; Must have Microsoft Excel and Word experience.

SUMMARY:

Consumer Support and Administrative Assistant for assisting Consumer Accounting, and miscellaneous office activities of the establishment while complying with regulations and Friendship Community Care, Inc. policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following but is not considered an inclusive list:

  • Assist with invoicing and issuing checks for all Consumers to include but not limited to budget checks, grocery, personal spending, weekly allowance, one time monthly issues, and special purchases.

  • Assist with coding manual check receipts and enter into MIP Accounting.

  • Assist with compiling missing receipt list and disburse via email to Coordinators and Managers, update and resend as often as necessary to ensure Coordinators return paid receipts by deadline.

  • Assist with checks that have been outstanding for two weeks or longer, verify they have cleared the bank or contact Coordinators and their Managers having delinquent checks and receipts.

  • Assist with completing and mailing all Representative Payee Reports withing the deadline set by Social Security.

  • Assist with collecting all Consumer tax information and take for processing. This should be completed early enough for the tax returns to be completed before the filing deadlines of the returns, including extensions.

  • Assist with maintaining all Consumer Files to include permanent files such as insurance policies, SSA overpayments, year tax reports, guardianships, trust information, and burial policies. Payee information and paid invoices files will also be included.

  • Assist with completing and mailing all Representative Payee Reports within the deadline set by Social Security.

  • Assist with maintaining cross training knowledge of completing and sending weekly Consumer current fund balances report to Coordinators and Managers. 

  • Assist with maintaining cross training knowledge on checking incoming requests and invoices for accuracy and appropriate approval.

  • Assist with answering incoming telephone calls and transferring to appropriate departments.

  • Assist with allowing entry to building after doorbell has been activated.

  • Assist with checking out Friendship vehicles for employees for travel and check vehicles back in upon their return.

  • Assist with accounts payable support.

This is a safety sensitive position.
