About the Opportunity


We're growing! Isaacs & Isaacs Law Firm is expanding its Human Resources department and is seeking an experienced HR & Payroll Assistant to support day-to-day Human Resources operations and multi-state payroll processing.


This is a full-time, hourly, non-exempt position based fully in-office at our Louisville, Kentucky location. The HR & Payroll Assistant will report to the Human Resources Director and play an important role in supporting payroll accuracy, HR administration, employee records, benefits, recruiting, onboarding, compliance, and employee experience.


The ideal candidate is detail-oriented, highly organized, comfortable working with confidential information, and experienced using Paylocity in a multi-state payroll environment.


Key Responsibilities


Payroll & Timekeeping Support

  • Assist with processing biweekly and off-cycle multi-state payroll for employees using Paylocity.
  • Serve as a backup point of contact for employee questions related to timekeeping, attendance, and payroll.
  • Enter and maintain payroll and personnel transactions, including new hires, terminations, leaves of absence, benefit deductions, payroll changes, and related updates.
  • Reconcile payroll reports, identify discrepancies, and assist with resolving payroll issues.
  • Administer garnishments, benefits deductions, PTO accruals, and related payroll items in Paylocity.
  • Assist with multi-state tax withholding setup, registrations, and payroll compliance across state lines.

HR Administration & Employee Records

  • Provide ongoing administrative support to the Human Resources department across recruiting, benefits, employee relations, compliance, and HR operations.
  • Maintain accurate and confidential personnel files, HRIS records, and employee documentation.
  • Support HR reporting, audits, recordkeeping, and data integrity within Paylocity.
  • Document workflows, procedures, and HR/payroll processes to support consistency and compliance.
  • Research and resolve HR and payroll questions while coordinating with service providers as needed.

Recruiting, Onboarding & Employee Support

  • Assist with full-cycle recruiting and onboarding for staff positions.
  • Prepare offer letters, new hire paperwork, and onboarding documentation.
  • Support employee benefits administration, including health insurance, 401(k), PTO, and related employee programs.
  • Provide professional, responsive support to employees and managers regarding HR and payroll-related questions.

Compliance & HR Operations

  • Support compliance with employment laws and company policies, including FLSA, FMLA, ADA, leave of absence processes, and multi-state labor law requirements.
  • Assist with performance management documentation, annual review support, and disciplinary documentation as needed.
  • Support HR initiatives related to employee engagement, firm culture, internal communication, and employee events.
  • Perform additional HR and payroll-related duties as assigned by management.

Requirements

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience may be considered.
  • Minimum 3+ years of combined Human Resources and payroll experience.
  • Hands-on experience processing multi-state payroll required.
  • Paylocity experience required.
  • Law firm or professional services experience preferred.
  • Strong understanding of multi-state payroll, payroll tax laws, FLSA, FMLA/LOA processes, and HR compliance.
  • Proficiency with Microsoft Office, especially Excel, as well as data entry and standard office equipment.
  • Strong customer service, problem-solving, and follow-up skills.
  • Excellent written and verbal communication skills.
  • Strong organization, planning, prioritization, and time-management skills.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills and ability to work effectively with employees, managers, vendors, and HR team members.

Preferred Certifications

  • PHR, SHRM-CP, Certified Payroll Professional (CPP), or equivalent certification preferred.

Work Environment


This is a full-time, hourly, non-exempt position based fully in-office at the Louisville, Kentucky location.


The position requires regular use of a computer, phone, and standard office equipment. The employee may occasionally lift or move up to 25 pounds. The work environment is generally quiet to moderate.ย
