Job description

Program Support Assistant

As a Program Assistant in the Administrative Section of the Engineering Service, the incumbent does a variety of clerical work as it pertains to the general mission of the Engineering Service, with a primary emphasis on overseeing the work order/preventative maintenance (PM) program and serving as backup support for the Budget and Fiscal Clerk. The incumbent will assist in the training of assigned staff on the FLITE database usage and modification in the replacement of the AEMS/MERS Vista System. Additionally, this position also serves as the administrative assistant to the Maintenance & Operations Supervisor.

Major duties include, but are not limited to:

  1. Entry of work orders and requests for supplies and material in Engineering Automated Engineering Management System/Medical Equipment Reporting System (AEMS/MERS). Verifies accuracy of information input and provides hard copy of information as requested. Completed work order and 2237 information are entered and verified for accuracy.
  2. Receives all approved work orders, routine and emergency, assigns activity numbers, cost centers, work center numbers, etc., for each request, transmits copies of work order to section supervisors for accomplishment.
  3. Receives emergency work order requests by telephone and notifies proper shop of the necessary action to remedy the emergency request.
  4. Reviews work order program through work order status report and analyzes any areas of program deficiencies, suggesting appropriate corrective action.
  5. Receives telephone calls and refers them to the proper individual to provide the desired information.
  6. Prepares summaries of maintenance and repair cost data. Summaries are made to learn costs for various activities, buildings, etc.
  7. Maintains Engineering Service Annual EIL Equipment Inventory in accordance with the non-expendable property responsibilities.
  8. Using established procedures to enter commands, utilizes the AEMS/MERS Engineering computer system to process preventive maintenance schedules, update the equipment maintenance data, process and closeout the preventive maintenance program documents. Also does routine data searches as necessary, updating PM data on over 5,000 pieces of equipment as required.
  9. Provides backup administrative support for the Secretary to the Chief of Engineering Service and other office personnel, as assigned.
  10. Provides occasional typing and secretarial duties for others, as assigned.
  11. Maintains the Medical Center's facility Space Files.
  12. Serves as the main administrative support staff to the Utility Management Subcommittee.
  13. Assists with the training of the FLITE database usage and modification.

Work Schedule: 7:00AM - 3:30PM Monday - Friday, Work Schedule may be adjusted due to agency needs.
