SUBSIDIARY: Joseph J. Peters Institute (JJPI)

PROGRAM: Survivor Services (SS)

ROLE TYPE: Part-Time/Special Payroll (10 hours per week)

JOB OVERVIEW:

Joseph J. Peters Institute seeks a part-time Operations Assistant for its Survivor Services program. This position will report to the Director of Administration. The Operations Assistant will work on recurring tasks and assist with small and large projects for the organization. Duties will include ensuring compliance with stakeholder targets, managing databases, completing reports, auditing charts, and performing other assigned tasks.

RESPONSIBILITIES:

  • Provides administrative support to the Director of Administration, including support with scheduling and document completion
  • Oversees independent projects as directed by the Director of Administration
  • Supports the Executive Director with administrative and recordkeeping tasks, including scheduling, data analysis, support with grant and other databases, and other projects as assigned
  • Scans, enters, and tracks documentation and ensures compliance with stakeholder targets
  • Monitors and helps support the management of databases and tracking systems for evaluations, assigned and discharged cases, HR related documentation, and quality assurance and operations metrics (including JJPI’s computer inventory)
  • Assists with insurance credentialing for qualified staff, including support with document completion required for insurance companies/payers
  • Under the supervision of the Director of Administration, creates and modifies forms within the electronic health records database
  • Assists in ongoing quality management of Survivor Services; specifically, provides ongoing chart audits, treatment plan tracking, and compliance with progress note completion parameters
  • Performs other administrative and operations duties as assigned

SKILLS:

  • Ability to independently work on small and large assignments relating to operations, tracking, and reporting systems
  • Ability to manage time and meet deadlines
  • Ability to communicate in writing and orally
  • Good analytical and troubleshooting skills
  • Working knowledge of Microsoft 365 programs, especially Excel

QUALIFICATIONS:

  • High school diploma or equivalent required
  • 1+ years of relevant administrative experience required
  • Preferred: Operations experience
  • Preferred: Experience with databases
