Program Manager, Executive & Global Onboarding

Location: San Francisco, CA 94103

Pay Rate: Starting at $52.00 per hour

About the Role

We are seeking a highly organized and proactive Program Manager to support Executive and Global Onboarding programs. This role is responsible for coordinating the operational execution of onboarding experiences for executives, new hires, and managers, ensuring a seamless and well-organized transition into the organization.

The ideal candidate thrives in a fast-paced environment, enjoys managing multiple priorities, and excels at collaborating across cross-functional teams to deliver exceptional onboarding experiences.

Key Responsibilities

Executive Onboarding Operations

  • Coordinate end-to-end onboarding logistics for new executives, partnering closely with Executive IT, Corporate IT, Facilities, Security, Executive Assistants, HR Business Partners, and other stakeholders.
  • Ensure executives have appropriate systems access, equipment, workspace, and resources prior to their start date.
  • Coordinate onboarding schedules, stakeholder meetings, and onboarding activities throughout the first 90 days.

Global Onboarding Operations

  • Support the operational delivery of Global New Hire Orientation and Manager Onboarding programs.
  • Coordinate onboarding schedules, logistics, communications, and program operations across multiple regions.
  • Partner with Learning Operations, AV teams, and facilitators to ensure successful onboarding sessions.

Program Coordination & Process Management

  • Manage onboarding trackers, project plans, and operational dashboards.
  • Monitor onboarding milestones, identify risks, and proactively resolve blockers.
  • Submit and track Jira requests and technical support tickets.
  • Maintain onboarding documentation, playbooks, templates, presentations, and resource libraries to ensure materials remain current and accurate.

Cross-Functional Collaboration

  • Build strong relationships with stakeholders across People Operations, HR Business Partners, Executive IT, Corporate IT, Facilities, Security, Executive Assistants, Learning Operations, Engineering, and other onboarding partners.
  • Identify opportunities to improve operational efficiencies and enhance onboarding processes.
  • Support scalable solutions that improve the overall onboarding experience.

Support the logistics and operations of onboarding sessions, development programs, and employee engagement activities.

2. Metrics & KPI Management

Build, define, monitor, and continuously improve key operational metrics and KPIs to drive process improvements and program effectiveness.

Partner with regional and global teams, including IT, Communications, and Learning Operations, to support employee success and maintain onboarding content and resources.

Required Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum 4 years of experience in program management, program operations, project management, or business process improvement.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Experience working cross-functionally with diverse stakeholder groups.
  • Strong proficiency with Google Workspace (Docs, Sheets, Slides) and Zoom.
  • Strong data management and analytical skills, including experience maintaining dashboards, trackers, or databases.
  • Ability to work independently and effectively in a dynamic, high-growth environment.
  • Expertise in operational best practices and managing high-impact initiatives.
