Program Manager Executive Assistant information

What is a program manager executive assistant?

Program Manager Executive Assistants are professionals who provide high-level administrative support to program managers or executives overseeing multiple projects or programs. Their duties often include calendar management, communication coordination, meeting preparation, and assisting with project tracking and reporting. They serve as a crucial link between program management and other departments, ensuring smooth operations and effective time management for busy executives. In some organizations, they may also handle confidential information, coordinate travel, and help support strategic initiatives.

How does a program manager executive assistant balance supporting executive leadership with managing complex program initiatives?

A Program Manager Executive Assistant often juggles high-level administrative support—such as scheduling, communications, and preparing materials for executives—with overseeing or coordinating specific program activities. This dual responsibility requires strong organizational skills, adaptability, and the ability to prioritize tasks effectively. The role frequently involves collaborating with cross-functional teams and stakeholders, ensuring deadlines and program goals are met while keeping leadership informed and supported. Success in this position comes from being proactive, detail-oriented, and comfortable with shifting between strategic planning and hands-on administrative tasks.

What are the key skills and qualifications needed to thrive as a program manager executive assistant, and why are they important?

To thrive as a Program Manager Executive Assistant, you need strong organizational skills, project management experience, and a background in business administration or a related field. Familiarity with project management software (like Asana or Trello), advanced proficiency in Microsoft Office Suite, and sometimes certifications such as PMP or CAP are commonly required. Exceptional communication, multitasking, and problem-solving abilities help you excel in supporting executives and managing complex schedules and programs. These skills are crucial for ensuring seamless operations, effective program delivery, and optimal executive support in dynamic business environments.

Can you become a program manager after executive assistant?

A Program Manager can often transition from an Executive Assistant role by gaining experience in project coordination, leadership, and strategic planning. Developing skills in stakeholder management, budgeting, and certifications like PMP can facilitate this career move. Many successful program managers start with administrative or project support roles and advance through skill development and experience.

Our clients' mission is to preserve historical architectural detail and traditional craftsmanship while infusing modern enhancements into each of our projects. As a family-owned business, we take pride in fostering a professional yet supportive work environment that values respect and collaboration.

Position Overview: We are seeking a highly motivated, autonomous, and independently driven Executive Assistant to provide comprehensive support to the Executive and their Boston office. As the first point of contact for the business, you will represent our company with a high level of professionalism. You will act as a liaison with C-Suite executives and high-net-worth individuals, anticipating the needs of the office and executive to ensure smooth daily operations. This role is perfect for someone who enjoys a dynamic and varied workday where no task is too small, and every day presents new challenges.

    • Front-desk receptionist, calendaring and scheduling, data-entry, documentation scanning and filing, and general administrative work for the business.
  • Executive Support:
    • Anticipate the needs of the Executive and provide personal assistant tasks, including support for family-related matters (may include scheduling doctor's appointments, arranging catering, traveling etc. tasks will be within reason to help the owner's day move smoothly).
    • Manage calendars, schedule meetings, and appointments, and coordinate business travel arrangements for the owners.
  • Administrative Support:
    • Handle daily office tasks such as scanning documents, digitalizing records, and maintaining filing systems.
    • Assist with media and marketing support, coordinating with relevant teams for business promotions and communications.
    • Act as the first point of contact for high-level stakeholders, including C-Suite executives and high-net-worth clients.
  • Technology & Troubleshooting:
    • Maintain the general office, keeping it running smoothly. This may include troubleshooting technology issues that arise and arranging service if needed to ensure smooth operation of office equipment and software.
    • Adapt and learn new technology as needed.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role; experience in a family-owned business is a plus.
  • Strong organizational and multitasking skills, with the ability to manage diverse tasks and priorities efficiently.
  • High level of professionalism, particularly in interactions with executives and high-net-worth individuals.
  • Computer proficient, with the ability to troubleshoot independently.
  • Proactive problem-solver with a "no task is too small" attitude.
  • Excellent written and verbal communication skills.
  • Ability to work independently and anticipate the needs of the executive and office without constant oversight.
  • Flexibility in work hours to accommodate the executives dynamic schedule.
  • Professional business attire and presentation required daily.

Why Join? This is an exciting opportunity for someone who thrives in a fast-paced, ever-changing environment. As a key member of our team, you will have the chance to work with a supportive and respectful family-owned business, contribute to meaningful projects in historic real estate, and take on a highly autonomous role.
