Program Manager Executive Assistant information

What is a program manager executive assistant?

Program Manager Executive Assistants are professionals who provide high-level administrative support to program managers or executives overseeing multiple projects or programs. Their duties often include calendar management, communication coordination, meeting preparation, and assisting with project tracking and reporting. They serve as a crucial link between program management and other departments, ensuring smooth operations and effective time management for busy executives. In some organizations, they may also handle confidential information, coordinate travel, and help support strategic initiatives.

How does a program manager executive assistant balance supporting executive leadership with managing complex program initiatives?

A Program Manager Executive Assistant often juggles high-level administrative support—such as scheduling, communications, and preparing materials for executives—with overseeing or coordinating specific program activities. This dual responsibility requires strong organizational skills, adaptability, and the ability to prioritize tasks effectively. The role frequently involves collaborating with cross-functional teams and stakeholders, ensuring deadlines and program goals are met while keeping leadership informed and supported. Success in this position comes from being proactive, detail-oriented, and comfortable with shifting between strategic planning and hands-on administrative tasks.

What are the key skills and qualifications needed to thrive as a program manager executive assistant, and why are they important?

To thrive as a Program Manager Executive Assistant, you need strong organizational skills, project management experience, and a background in business administration or a related field. Familiarity with project management software (like Asana or Trello), advanced proficiency in Microsoft Office Suite, and sometimes certifications such as PMP or CAP are commonly required. Exceptional communication, multitasking, and problem-solving abilities help you excel in supporting executives and managing complex schedules and programs. These skills are crucial for ensuring seamless operations, effective program delivery, and optimal executive support in dynamic business environments.

Can you become a program manager after executive assistant?

A Program Manager can often transition from an Executive Assistant role by gaining experience in project coordination, leadership, and strategic planning. Developing skills in stakeholder management, budgeting, and certifications like PMP can facilitate this career move. Many successful program managers start with administrative or project support roles and advance through skill development and experience.

Job description

We are seeking a highly experienced and strategic Executive Assistant to provide comprehensive administrative and operational support to our executive team. This role goes beyond traditional support, serving as a trusted partner who translates complex priorities into clear action, drives alignment across stakeholders, and ensures seamless execution in a fast-paced, evolving environment.

The ideal candidate demonstrates exceptional judgment, adaptability, and communication skills, with the ability to anticipate needs, navigate ambiguity, and influence outcomes while maintaining the highest level of discretion.

What you'll do:

Executive Partnership & Operations

  • Serve as a primary operational partner to C-suite leaders, owning the full scope of their professional and logistical priorities
  • Strategically manage complex calendars, meetings, and competing priorities across multiple time zones
  • Draft executive-level communications, briefing materials, and presentations with minimal direction
  • Act as a liaison between executives and internal/external stakeholders, ensuring clarity and efficiency in all interactions

Project & Event Leadership

  • Independently lead high-visibility administrative projects with significant executive exposure (e.g., Executive Meetings, leadership offsites)
  • Define scope, build project plans, and manage cross-functional dependencies from kickoff through execution and debrief
  • Conduct post-event reviews and implement continuous improvements

Communication & Relationship Management

  • Build and maintain trusted relationships with external partners, including executive offices, board member teams, and key stakeholders
  • Manage executive correspondence, drafting and sending communications while escalating only high-judgment items

Confidentiality & Discretion

  • Handle highly sensitive information (board materials, compensation discussions, strategic plans) with the utmost integrity
  • Establish and maintain clear protocols for managing confidential information
  • Model best practices and proactively address risks to confidentiality

Systems & Process Optimization

  • Serve as a power user for tools such as Google Workspace, Slack, Ramp, and Envoy
  • Identify inefficiencies and implement scalable workflow improvements (automation, templates, systems enhancements)
  • Evaluate and recommend tools to improve team effectiveness

Administrative Excellence

  • Coordinate complex travel (domestic and international), including itineraries, accommodations, and logistics
  • Manage expenses, reporting, and documentation with accuracy and efficiency
  • Support event planning, office initiatives, and executive personal logistics as needed
  • Conduct research and synthesize information to support executive decision-making
What you have:
  • Bachelor's degree in Business Administration, Management, or related field
  • 5+ years supporting C-suite executives in a high-performance environment
  • Exceptional communication, interpersonal, and stakeholder management skills
  • Advanced organizational and time-management capabilities with strong prioritization skills
  • Proven ability to operate autonomously and thrive under pressure
  • Demonstrated discretion and integrity in handling confidential information
  • Experience with project management tools (e.g., Monday.com)
  • Proficiency in Google Workspace and modern collaboration tools (e.g., Slack)
  • Experience with expense management platforms (e.g., Ramp)
