Program Manager

PROGRAM MANAGER

Organization: gallupARTS
Location: Gallup, NM
Reports To: Executive Director

POSITION SUMMARY

The Program Manager serves as the operational and programmatic lead for gallupARTS, overseeing gallery operations, community programming, grant project implementation, communications, and assisting with administrative compliance. This position is responsible for ensuring the successful execution of gallery shows, classes, events, and special projects while maintaining strong relationships with artists, partners, funders, and the public.

The ideal candidate is community-oriented, highly organized, and comfortable balancing strategic planning with hands-on implementation.

KEY RESPONSIBILITIES

The Program Manager will oversee a team of three staff members—the Gallery Coordinator, Studio123 Program Coordinator, and Program Assistant—along with volunteers to develop, plan, and implement a wide range of programs.

Program & Gallery Management

ART123 Gallery

  • Develop and manage annual exhibition schedule
  • Liaise with ART123 Gallery artist members and process new member applications
  • Oversee artist application and acceptance processes for group shows and special programs
  • Plan exhibition installation and de-installation in conjunction with Gallery Coordinator
  • Organize opening receptions, artist talks, and related events in conjunction with Gallery Coordinator
  • Maintain cleanliness, organization, and supply inventory in conjunction with Gallery Coordinator and Program Assistant and support ongoing facility needs
  • Manage Art-o-Mat project

Studio123 & Educational Programming

  • Plan monthly classes and workshops in conjunction with Studio123 Program Coordinator
  • Plan Spring Break Art Camp and Summer Art Classes in conjunction with Studio123 Program Coordinator
  • Oversee program enrollment processes and policies
  • Support program logistics, including with supply ordering and catering
  • Maintain class listings on website and Square platform

Communications & Marketing

  • Produce monthly newsletters, including member newsletter, subscription newsletter, and artist opportunity emails
  • Oversee production of program fliers and marketing materials, in conjunction with Gallery Coordinator and Studio123 Program Coordinator
  • Submit monthly print calendar listings to local outlets
  • Create and distribute PSAs and press releases in conjunction with Gallery Coordinator and Studio123 Program Coordinator
  • Manage social media content and presence in conjunction with Program Assistant
  • Maintain and update website
  • Maintain online business listings (Google, Yelp, etc.)
  • Plug gallupARTS’ information into marketing and PR opportunities (e.g., the Gallup Visitor Guide)

Grants & Special Projects

  • Assist with grant application preparation and with grant administration, led by the Executive Director
  • Assist the Executive Director with development of special and one-off programs and projects

Board & Organizational Support

  • Track and report monthly organizational statistics
  • Prepare reports for Board meetings
  • Participate in and facilitate staff meetings
  • Manage and support staff, volunteers, and personnel

Community & Stakeholder Engagement

  • Serve as liaison to artists, members, community partners, and stakeholders
  • Develop and strengthen partnerships with local and regional organizations

QUALIFICATIONS

Required:

  • Bachelor’s degree or higher in arts, design, media, education, or related field
  • 3+ years experience in nonprofit management, arts administration, program management, or related field
  • Strong organizational and project management skills
  • Experience with grant writing and reporting
  • Experience coordinating events or gallery shows
  • Familiarity with bookkeeping and financial reporting processes
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and deadlines independently

Preferred:

  • Experience working in an arts or cultural organization
  • Knowledge of nonprofit compliance requirements
  • Proficiency with website management, email marketing, and social media
  • Familiarity with Square or similar POS systems

WORK ENVIRONMENT

COMPENSATION & BENEFITS

  • Hours: 30 per week overlapping ART123 Gallery business hours.
  • Rate: $25/hour
  • Benefits: Annual health insurance stipend, accrued sick leave, paid personal leave, major holidays
