UC’s Department of Neurology and Rehabilitation Medicine is seeking a full-time Program Manager. The Program Manager is responsible for the operational management, coordination, and continuous improvement of the undergraduate and continuing medical education programs. Serving as the primary administrative lead for medical education, this position manages complex workflows and logistics while proactively identifying opportunities to evolve programs to meet the changing needs of medical learners.
The successful candidate will serve as the primary administrative lead for the Neurology Department’s educational and student-focused programming. This includes managing the full lifecycle of medical student curricula (M3/M4 rotations and VSLO), specialized student initiatives (MSSP and SIGN), and the coordination of Departmental Grand Rounds. This role requires a highly organized professional capable of managing multiple concurrent projects, ensuring accreditation compliance, and navigating an evolving technological landscape to provide a premier educational experience. This is a full-time, on-site position located at the Clifton location (medical campus) of the University of Cincinnati (5 days/week).
Educational Program Coordination & Evolution:
• Manage the day-to-day administrative operations of multiple undergraduate and continuing medical education programs.
• Coordinate program activities across multiple clinical sites, faculty, learners, and institutional offices.
• Continuously evaluate and refine administrative processes to enhance program consistency, efficiency, and the overall learner experience.
• Serve as the primary administrative liaison between departmental leadership, faculty, students, and the College of Medicine.
• Act as a key liaison to internal departments, external entities, and those in the community.
• Identify operational difficulties and independently develop innovative solutions to ensure uninterrupted and high-quality program delivery.
Program-Specific Administration
• M3 Neuroscience Clerkship: Manage administrative operations, including scheduling across multiple clinical sites, faculty assignments, orientation, and assessment logistics.
• M4 Neurology Electives & VSLO: Manage administrative operations for seven unique fourth-year electives offered to both internal and visiting students. Manage the AAMC VSLO program for visiting students, including application processing and onboarding (EMR access, credentials, etc.). Serve as primary contact for UC students performing away rotations at external sites.
• Medical Student Scholars Program (MSSP): Coordinate application, interviews, enrollment, programming, workshops, and mentoring activities for the Neuroscience MSSP consisting of four separate specialty tracks. Track student progress and program metrics to support student success beginning in the M1 year through the M4 year.
• Continuing Medical Education (Grand Rounds): Manage annual scheduling, speaker logistics, and CME documentation compliance. Coordinate end-to-end event execution, including technical AV setup and live or virtual session facilitation to ensure seamless presentation delivery.
• Student Interest Group in Neurology (SIGN): Lead communications and programming, including clinical shadowing and educational events, to support M1/M2 students interested in neurology.
Assessment, Data & Communication Management
• Evaluation Coordination: Coordinate faculty and learner evaluation processes; monitor completion and prepare materials for grading committees to ensure high-quality feedback loops.
• Systems Management: Utilize learning management systems and institutional platforms (MedOneStop, LEO, Microsoft Teams, SharePoint etc.) to manage educational resources.
• Data & Reporting: Utilize advanced Excel functions to manage complex datasets, ensuring data integrity and seamless information flow between the clerkship program, clinical sites, preceptors, and students.
• Content Development: Prepare, edit, and proofread communications, newsletters, and departmental publication materials. Ensure all digital documents meet institutional accessibility (ADA) requirements.
Compliance & Administrative Operations
• Accreditation Support: Maintain meticulous documentation to support LCME and CME accreditation requirements.
• Budgetary Support: Assist with program budget tracking, process honoraria, coordinate travel reimbursements, and manage educational-related expenditures.
• Record Keeping: Maintain confidential educational records and assist with departmental special projects as assigned.

- Bachelor's Degree.
- Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
- Three (3) years of relevant experience in higher education, academic medicine, healthcare administration, or program management.
- Microsoft Office Suite: Comfortable managing data and documentation within Excel and Word. Should be familiar with standard formulas and capable of learning more complex data management techniques.
- Digital Tools: Proficiency in Adobe Acrobat (editing/form creation) and collaboration tools (Teams, SharePoint).
- Self-Directedness: Ability to work independently, manage competing priorities, and solve operational challenges without direct supervision.
- Attention to Detail: High level of accuracy in data management, scheduling, and documentation.
- Agility & Growth Mindset: A proactive learner able to master new software, adapt workflows to changing technological landscapes, and embrace continuous process improvement.
- Experience supporting undergraduate medical education (UME) or graduate medical education (GME).
- Familiarity with LCME, ACGME, or CME accreditation processes.
- Experience administering the AAMC VSLO system.
- Office environment/no specific unusual physical or environmental demands.
