Program Coordinator (Project & Event Management)

Overview

We are seeking a Program Coordinator to support the planning, coordination, and execution of cross-functional programs and leadership events. This role partners with project leads and business stakeholders to coordinate activities, maintain documentation, track project progress, and ensure initiatives remain on schedule. The ideal candidate is highly organized, detail-oriented, and comfortable working in a collaborative, fast-paced environment.

Key Responsibilities
  • Support planning and coordination of cross-functional programs and projects.
  • Develop and maintain project plans, timelines, and deliverables.
  • Coordinate activities across multiple business functions and stakeholders.
  • Track milestones, action items, and project progress while identifying schedule risks.
  • Assist with planning and execution of leadership meetings, town halls, and large-scale events.
  • Coordinate meeting logistics, attendee communications, room setup, and audio-visual arrangements.
  • Assist with agenda creation and documentation for recurring meetings and governance sessions.
  • Communicate project status updates and progress to stakeholders using clear, data-driven reporting.
  • Support process improvements that enhance collaboration and project execution.
  • Help ensure projects are completed within agreed scope, timelines, and available resources.
  • Prepare reports and presentations using quantitative data.
  • Identify project risks and support mitigation planning.
  • Maintain accurate project documentation and administrative records.
  • Provide administrative support during high-volume project or event periods.
  • Collaborate effectively with cross-functional teams while maintaining a professional presence when supporting leadership.
Required Qualifications
  • Bachelor's Degree.
  • 2+ years of experience in program coordination, project coordination, cross-functional stakeholder support, or event logistics within a large corporate environment.
  • Experience coordinating activities across multiple business functions or departments.
  • Strong proficiency with Microsoft 365, including Outlook, Teams, SharePoint, PowerPoint, Excel, and Copilot.
  • Familiarity with task and milestone tracking tools such as Planner and SharePoint.
  • Strong written and verbal communication skills.
  • Excellent organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities, deliverables, and timelines simultaneously.
