Position Title: Program Associate

Position Summary
The Program Associate supports the planning, execution, and administration of programs and projects across the organization. This role assists with coordinating activities, maintaining program documentation, tracking deliverables, supporting stakeholder communications, and ensuring program objectives are achieved efficiently and effectively.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a dynamic environment. They possess strong communication skills, analytical thinking, and a proactive approach to problem-solving.
Key Responsibilities
Program Coordination & Support
  • Support day-to-day program execution activities to ensure projects remain on schedule and aligned with organizational objectives.
  • Assist with planning, coordinating, and monitoring program milestones, deliverables, and action items.
  • Maintain program documentation, reports, schedules, and records.
  • Monitor project status and provide updates to leadership and stakeholders.
  • Coordinate meetings, prepare agendas, document action items, and track follow-up requirements.

Operations & Process Management
  • Assist in developing and implementing processes that improve program efficiency and effectiveness.
  • Collect, organize, and analyze program-related data to support informed decision-making.
  • Maintain tracking tools, dashboards, and status reports.
  • Identify risks, issues, and opportunities for process improvement and recommend solutions.
  • Ensure compliance with organizational policies, contractual requirements, and industry standards.

Stakeholder Engagement
  • Collaborate with internal teams, customers, and external partners to support program objectives.
  • Serve as a point of contact for program-related inquiries and coordination efforts.
  • Facilitate communication across cross-functional teams to ensure alignment and transparency.
  • Support leadership in preparing presentations, briefings, and program documentation.

Administrative & Reporting Support
  • Prepare recurring and ad hoc reports for management and clients.
  • Support contract, resource, and budget tracking activities as assigned.
  • Maintain accurate records of program activities and deliverables.
  • Assist with audits, reviews, inspections, and other compliance-related activities.

Qualifications
  • Bachelor's degree in Business Administration, Project Management, Public Administration, Engineering, Logistics, or a related field; equivalent experience may be considered.
  • 2+ years of professional experience supporting programs, projects, operations, or administrative functions.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Active Secret Clearance or ability to obtain and maintain security clearance, if required.

Preferred Characteristics
  • Experience supporting government, defense, or federal programs.
  • Familiarity with project management principles and methodologies.
  • Experience preparing reports, dashboards, and executive briefings.
  • Strong analytical and problem-solving skills.
  • Experience working with cross-functional teams and stakeholders.
  • Proficiency with Microsoft Power Platform, SharePoint, or project management tools.
  • PMP, CAPM, Agile, or related professional certification preferred.

Salary Range (DMV Market): $120,000 annually-$150,000 annually
Location-Based Compensation: Compensation is determined based on the employee's primary work location, applicable labor market, experience, education, certifications, security clearance, and other job-related factors. Candidates working outside the DMV may receive a different salary range consistent with local market conditions and applicable law.
