Position Information

Position Title: Program Assistant

Location: In person, at 11930 Whitmore Lake Road, Whitmore Lake, MI 48189

Status: Full Time

Shift: Monday – Friday

Pay: $20.00 per hour

Reports to: MDOT Coordinator

Overview

We are seeking a detail-oriented and organized Assistant to join our team. The ideal candidate will bring past experience with data reporting and document management. The Program Assistant will be responsible for supporting various administrative tasks related to MDOT compliance and ensuring efficient operations.

Responsibilities

Compliance

  • Monitor contracts to maintain compliance with MDOT
  • Ensure policies and procedures are being followed
  • Oversee compliance with MDOT protocols and reporting standards
  • Assist Compliance Specialist as needed

Data

  • Responsible for data collection, reporting, and analysis
  • Support internal training on data collection and reporting practices
  • Compile and submit routine reports for MDOT, FTA, and other agencies
  • Identify improvements to data systems and processes

Administrative Assistance

  • Coordinate project activities and ensure all tasks are completed on time
  • Organize and maintain files, records, documents and contracts
  • Assist with clerical duties such as transcribing, filing, and data entry
  • Provide administrative support for county contracts including tracking requirements, maintaining documentation, and assisting with reporting
  • Maintain professionalism in all interactions with excellent phone etiquette

Qualifications:

  • Past experience in data collection and reporting
  • Strong organizational skills with attention to detail
  • Critical thinking skills
  • Proficiency in clerical tasks
  • Experience working in local government preferred
  • Excellent phone etiquette and communication skills
  • Ability to provide outstanding customer service
  • Computer literate and proficient in EXCEL, WORD other MS software
  • Strong willingness to learn new systems, processes, and regulations
  • An associate degree is preferred but not required for the role
