Essential Job Duties
This posting will be used to fill two University Program Associate vacancies. Applicants who apply to this posting will be considered for both opportunities.
While each position has primary responsibilities (administrative student support or purchasing and student employment administration, selected candidates will be cross-trained in both functional areas to provide operational support.
The University Program Associate serves as the initial point of contact for day-to-day functions of the Academic Success Center (ASC) in the D.H. Hill Jr. Library. This role delivers exceptional customer service by welcoming visitors, handling verbal and written inquiries from students, faculty, staff, and parents, while clearly communicating ASC policies. The position fosters productive working relationships among student staff, library personnel, and campus partners to ensure students are promptly and accurately connected to services and resources.
In addition to front-facing services, the position is responsible for maintaining and supporting the ASC learning environment and its resources. This includes maintaining the group study room schedules, optimizing table availability during peak hours, and working with the Director to coordinate logistics for drop-in services by campus partners. Utilizing a comprehensive understanding of University resources and ASC procedures, this role resolves student issues and supports daily operational needs.
Additionally, the role maintains essential administrative data and records with accuracy and strong attention to detail. Using university-specific platforms (such as Navigate and MyPack Portal), the University Program Associate coordinates student appointments, tracks attendance data and approves weekly student timesheets.
The University Program Associate works closely with the Director to maintain the ASC's business operations, including monthly financial reconciliation review , departmental purchasing, and student employment administration . Utilizing university-specific systems, Google Workspace, and Microsoft Excel to organize large datasets, the role maintains accurate records to ensure all transactions and timesheets comply with University policies and procedures.
