Programs & Advising Assistant, Office of Undergraduate Programs and Students
Lynch School of Education and Human Development

The Undergraduate Program & Advising Assistant will play an essential role within the administrative structure of the Lynch School of Education and Human Development's (LSEHD) Office of Undergraduate Programs and Students (OUP). This position will provide exceptional customer-client service and will be the point person for coordinating and organizing many materials and processes.
This position will support the Office of Undergraduate Programs and Students with daily priorities and allocating resources to ensure that LSEHD undergraduate student academic programs and processes are conducted in an effective and efficient manner.
Key Responsibilities:
  • Provide high volume student support to undergraduates each day through in-person visits, phone calls, Google or Zoom Meetings, and email inquiries, ensuring timely and accurate follow-up for all LSEHD undergraduate student needs.
  • Ensure administrative operations management by overseeing office workflow, equipment, supplies, Google Suite tasks, work orders, and academic systems such as EagleApps, EAB Navigate, and other platforms.
  • Deliver comprehensive advising support to assigned advisees, first year students, transfers, minors, non-Lynch students, and students pursuing internships, independent studies, research, and study abroad opportunities.
  • Provide prospective undergraduate student engagement through campus visits, admissions coordination, responsive communication, and clear guidance on Lynch School academic programs and degree completion pathways.
  • Coordinate undergraduate academic programs through program of study reviews, course availability monitoring, overload management, mid-semester progress reporting, and department notifications.
  • Support event and FYE orientation programming for summer orientation sessions and rounds, fall recruitment events, Commencement preparation and celebration, and special programs such as Admitted Eagle Days.
  • Deliver communications management by producing the LSEHD undergraduate newsletter, class announcements, protected (PII) listservs, and coordinating messaging with the Career Center and BC Day School academic departments.
  • Maintain confidential student records management through accurate and cybersecure documentation, petition processing, academic enrollment status updates, and support for university processes such as declarations, leaves, and readmission.
  • Strengthen cross-departmental collaboration by partnering with Department members, Lyons Hall Central Student Services, Messina College, Foundations Program, Admissions, and other university offices to support student program completion and pathways.
  • Provide student employee supervision including hiring, training, scheduling, and supporting Graduate Assistants and Undergraduate Student workers while maintaining clear expectations, secure data and confidentiality.
  • Ensure budget and financial coordination through monitoring expenditures, maintaining program budgets, and supporting financial operations for the Office of Undergraduate Programs and Students.

Hiring Range: $26.32/hr to $32.88/hr. Pay rate commensurate with relevant experience.

  • Bachelor's degree
  • 1-2 years of progressively responsible experience, preferably within a college or university setting
