Position is not scheduled to work during winter break or spring break.

Summary/Primary Objective of Position:
To provide data and partner management for the VANTAGE-Momentum program. VANTAGE and Momentum works with over 1,300 community volunteers each year and starting in 2026-27, over 1200 students. The Office Assistant ensures all VANTAGE-Momentum stakeholders enjoy a positive experience. The Office Assistant is also responsible for providing office administrative leadership for the VANTAGE-Momentum program including leadership, instructors and students.
Job Responsibilities:
  1. Data Management and Processing: Process data to generate reports, numbers and look for ways to eliminate data errors and improve efficiency by utilizing tools, applications, and other resources.
  2. Data analysis: Generate, process and analyze data from Skyward, survey responses, forms, application reports, and various spreadsheet requests. Utilize survey information to present data in a digestible, graphic format.
  3. Technical Support: Provide hardware/software configuration/setup, set up tech for guests, daily computer support assisting students and staff.
  4. Process Management: Manage and improve efficiency logistics for events and other aspects of VANTAGE-Momentum to accommodate program growth.
  5. Provide customer service and administrative support to VANTAGE-Momentum students, staff, teachers, guest instructors and visitors by serving as the first point of contact.
  6. Define, support, and implement communications strategies for various program needs including events, volunteer recruitment, and partner engagement.
  7. Manage logistical, transportation, and other aspects of VANTAGE-Momentum events and site visits including Mentor kickoff, registration, HR Day, Shark Tank, Graduation, Mentor Appreciation, Registration events and other events as they arise.
  8. Manage the VANTAGE and Momentum overall budget report including expense reports, invoices, billing, coding, supplies.
  9. Create and manage VANTAGE and Momentum databases (guest instructors, site visits, mentors, alumni)
  10. Manage transportation for all VANTAGE and Momentum operations. This includes daily buses, event/site visit buses, and student parking permits/tickets.
  11. Purchase and maintain inventory of Vantage-Momentum Building supplies and materials. Request all computer, copy machine and technical repairs, and building repairs.
  12. Performs other duties of a similar nature or level

Job Qualifications:
  1. High level skill using Excel to manage/manipulate large data sets
  2. Experience with CRM software, including preparing and importing data from other sources
  3. Extensive computer experience, including Microsoft Office (Word, Excel, Power, and Outlook) and Google Docs.
  4. Ability to create and refine visual communications like Google Slide presentations.
  5. Ability and willingness to become proficient in multiple digital platforms and information systems, including but not limited to School Messenger, Schoology, Raptor, Google Office, Canva etc.
  6. Evidence of excellent scores on skills performance tests.
  7. Evidence of ability to maintain confidentiality.
  8. Evidence of strong organizational skills
  9. Excellent human relations and customer relations skills.
  10. Evidence of flexibility is a high priority.
  11. Evidence of excellent typing skills, minimum of 50 wpm.
  12. Evidence of ability to work in an environment with many interruptions, adjust to changing priorities, and be comfortable working in a fast-paced environment.
  13. Evidence of ability to initiate tasks and work with minimum supervision.
