Job description

Program Assistant – Mid Kansas Division

Medicine Lodge and Pratt, KS

Non-Exempt Position; Pay Range: $18.25 – $24.25/hour; Excellent Benefit Package


Why Is This Important?

As a Program Assistant, you play a vital role in helping adults with disabilities receive high-quality services and support. You will help keep programs organized, ensure important records and documentation are accurate, and provide support that directly impacts the lives of the people we serve. Your work helps Arrowhead West maintain compliance with licensing requirements, CARF standards, and organizational goals while promoting positive outcomes for clients. This position will be based out of the Medicine Lodge office with weekly travel to the Pratt office.


What Will I Do?

No two days are exactly the same! Depending on the needs of the division, you may:

Administrative & Program Support

  • Gather information and prepare reports, billing documentation, and tracking records.
  • Maintain, organize, review, store, and properly dispose of program and client records.
  • Provide clerical support, answer phones, file documents, and assist with receptionist duties.
  • Assist with employee onboarding paperwork and drug screening coordination.
  • Help complete safety inspections and support safety committee activities.
  • Provide technical support and training assistance when needed.
  • Participate in on-call coverage as assigned.

Client & Service Coordination

  • Coordinate medical appointments, medications, and communication with Case Managers.
  • Provide backup direct support services for individuals in day and residential programs.
  • Transport clients to appointments, activities, or other destinations as needed.
  • Coordinate intake meetings for day and residential services.

Professional Growth

  • Gain experience in human services, program coordination, and client support.
  • Develop leadership, training, technical, and organizational skills through our various paid trainings.


What Is Required?

Minimum Qualifications

  • High school diploma or GED.
  • Must be at least 18 years old.
  • Valid driver's license with a safe driving record.
  • Ability to work independently while managing multiple tasks and priorities.
  • Ability to work occasional evenings, weekends, or on-call assignments.
  • Ability to read and interpret policies, procedures, and safety guidelines.

Preferred Qualifications

  • Two years of related work experience and/or college coursework.
  • Experience in human services, healthcare, social services, administrative support, or customer service.
  • Strong communication, organizational, and public relations skills.
