Job Description
Opportunity:
IOTA Community Schools is seeking an Operations Associate. Under the direct supervision of the Principal, the Operations Associate will provide administrative support to the school's front office including coordinating key daily activities to ensure stakeholder satisfaction. The OA will own several key processes in ensuring the continuation of a positive school culture and a smooth running school building which include: primary facilities and technology requests, main point of contact for stakeholders, data integrity and student enrollment.
Essential Duties & Responsibilities:
  • Maintain a welcoming and friendly front office for families and visitors
  • Provide telephone and in-person visitor support daily
  • Manage visitor check-in and student check-out procedures
  • Ensure functional copy machines, printers, scanners; contact technicians if needed
  • Maintain student files and records in accordance with federal and school-based policies, as well as audit guidelines
  • Support Student Information System, attendance, and truancy process
  • Ensures confidentiality with student files
  • Assist in troubleshooting tech/building related issues (i.e. work orders, custodial, etc.)
  • Support annual new student recruitment and enrollment processes
  • Verify and process student registration packets and supporting documentation to ensure completeness and compliance.
  • Maintain accurate student records by synchronizing enrollment data between OneApp and eSchool systems.
  • Ensure new students have submitted all required documentation such as emergency cards, immunization, etc.
  • Troubleshoot and provide basic support for end user devices, primarily Chromebooks, projectors and staff devices.
  • Collaborate with IOTA IT and Data Teams to ensure efficient operation of the organization's many technologies
  • Perform onsite analysis, diagnosis, and resolution of basic problems for end users, and recommend and implement corrective solutions, including offsite repair for users as needed
  • Install, configure, test, maintain, monitor, and troubleshoot end-user devices and related hardware and software in order to deliver required desktop service levels
  • Coordinate with appropriate SPED and EL staff when enrolling new students
  • Enter enrollment data, updates student info and processes student data for exits.
  • Request information from previous schools for student records and transcript requests.
  • Provide translation as needed
  • Ensure compliances requirements are completed on time
  • Additional duties as assigned which may include but is not limited to: hallway/dismissal/arrival/lunch supervision.
  • Occasionally assist with transportation coordination with external vendor.

Qualifications
  • Commitment to the mission of IOTA Community Schools
  • A minimum of 1 year in an administrative support capacity in an office or school environment is preferred
  • Experience with eSchools highly preferred
  • Prior experience within a school setting is desired
  • Bilingual in Spanish highly preferred and may be required based on student enrollment
  • Excellent interpersonal and communication skills (written and oral)
  • Proficient in MS Word, PowerPoint and Outlook, comfortable learning new computer programs
  • Basic Chromebook and technology support skills including: troubleshooting most common problems, A/V support for projectors or streaming devices, screensharing with technicians.

Additional Information
