Job Description:

BOLI, Information Systems Unit (ISU) is hiring a full-time, permanent, union-represented Operations Support Specialist (AS2) position. The purpose of this position is to provide specialized administrative, coordination, and technical support as the agency procures, implements, and maintains a new case management system. This role ensures effective project coordination, clear communication among stakeholders, organized documentation, and smooth operational support that enables the agency to meet its technological and programmatic goals.
Note: We are committed to a supportive environment that promotes work life balance and flexibility. This position may be eligible for a hybrid work schedule, with weekly in person requirements for meetings, trainings, and other operational needs. The selected employee may work from Salem, Multnomah or Portland BOLI office location.
Here's what you will do:
  • Coordinate project schedules, track deliverables, and support decision-making activities.
  • Maintain and organize project documentation, ensuring compliance with legal, retention, and audit standards.
  • Serve as a central point of communication among IT staff, leadership, project teams, end users, and vendors.
  • Plan and coordinate project meetings, trainings, and system-related events; help evaluate training outcomes and improve processes.
  • Support data governance by reviewing data quality, assisting with access permissions, and preparing summaries or reports.
  • Monitor and track operational issues, document risks, and support quality-assurance efforts.
  • Provide administrative support for project operations, including invoices, supplies, travel, or other assigned tasks.
  • Model professional conduct, uphold confidentiality, and promote a diverse and respectful workplace.
This Is What You Need to Qualify:
Three years of secretarial or administrative support experience includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
OR
An equivalent combination of education and experience.

  • Demonstrate strong organizational and time-management skills, with the ability to manage multiple project tasks and deadlines.
  • Demonstrate the ability to track and maintain complex information and accurate documentation across systems and formats.
  • Shows clear, concise, and professional communication skills with technical staff, vendors, leadership, and end users.
  • Demonstrate the ability to quickly learn new systems, tools, and workflows and apply them effectively.
  • Experience in research and analytical skills to gather information, verify accuracy, and summarize content for reports and decision-making.

Working Conditions: This position may be eligible for hybrid work depending on agency needs, with occasional in-office work required in Portland, Salem, or Eugene.   • Pay Equity: In accordance with Oregon's Pay Equity Law (2017), a pay equity analysis will determine the step placement for the successful candidate based on documented experience, education, training, and certifications documented in the application materials.
  • PERS Eligibility: This position qualifies PERS. New PERS members receive a 6.95% salary increase after a six-month waiting period and contribute 6% to PERS. Current PERS members receive a salary that includes the 6.95% employee contribution.
