Key Responsibilities

  • Manage the full procurement cycle: purchase order issuance, order tracking, delivery follow-up, receipt verification, and invoice reconciliation.
  • Communicate daily with suppliers to track order status and ensure on-time delivery of materials and services.
  • Monitor procurement progress and resolve delivery exceptions (delays, shortages, quality issues) with timely escalation and follow-through.
  • Assist in maintaining supplier records and procurement logs to ensure complete and auditable documentation.
  • Support supplier RFQ and price comparison activities to assist the Procurement Manager with cost analysis.
  • Coordinate with field service teams and project managers to confirm material specifications and technical requirements.
  • Handle procurement-related documentation, including purchase requisitions, contract filing, and invoice matching.
  • Support logistics coordination by tracking parts and equipment shipments.
  • Enforce company procurement policies and supplier data confidentiality requirements.


Qualifications

Required

  • Associate's or Bachelor's degree in Supply Chain, Business Administration, or a related field.
  • 2+ years of experience in procurement, purchasing, or supply chain coordination.
  • Experience in services procurement or parts purchasing (e.g., equipment maintenance services, spare parts) is preferred.
  • Background in manufacturing, HVAC, mechanical, or engineering services industries is preferred.
  • Solid understanding of the full procurement lifecycle (RFQ, PO issuance, order tracking, delivery, reconciliation).
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Detail-oriented, organized, with strong execution and communication skills.
  • Bilingual in English and Mandarin Chinese (written and spoken) – able to communicate effectively with suppliers and cross-functional teams in both languages.
