Job description
Duties Description Under the direct supervison of the Park Manager 1, SG-18, this person will be responsible for the following and other daily tasks that arise: Complete and reconcile purchases in the Statewide Financial System (SFS). Assist Park Supervisors, trades generalists and field carpenters with various administrative tasks related to rental agreements, insurance, mandatory training, building inspections, state physicals, computer assistance, and other paperwork. Prepare and submit hiring paperwork to HR.
Enter and review payroll; maintain time and attendance records. Collect all dam reports and share with engineering staff for review. Collect vehicle and equipment fuel sheets, compile data, and share with garage employees.
Fill out work orders for regional maintenance and garage assistance. Issue road permits, off-season permits, and special event permits. Send bills/invoices to all camp organizations.
Collect all necessary operating paperwork, documents, insurance, etc. from each camp. Compile and update dam Emergency Action Plans.
Collect seasonal surveys and compile resulting data. Work with camps to determine their specific needs; relay to Park Manager and park supervisors Monitor phones, voicemails, and radio communication. Create annual on-call schedule for the park supervisors.
Assist with tracking budgets for both the camp department and the NYWORKS field carpenters. Complete lease renewals between the Palisades Interstate Park Commission (PIPC) and other organizations. Take and disseminate meeting notes.
Maintain a clean office facility. This position may supervise lower-level and seasonal staff. Communicate effectively with other staff and park patrons in a responsible and courteous manner.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Please note: Appointments made at a traineeship level (Administrative Assistant Trainee 1, NS equated to SG-8, and Administrative Assistant Trainee 2, NS equated to SG-10 leading to Administrative Assistant 1, SG-11). Candidates appointed to the Trainee 1 level will be required to complete four mandatory courses during the first year of the traineeship and elective courses in the second year of the traineeship in four competency areas. Candidates appointed to the Trainee 2 level will be required to complete the elective courses prior to advancing to full title.
The courses are offered to CSEA employees through the New York State & CSEA Partnership. Trainees will be able to complete the courses either through classroom or online training and webinars. Transfer eligible candidates can complete the required coursework prior to appointment to be eligible for advance placement into the Administrative Assistant Trainee 2 or Administrative Assistant 1.
