Sr. Administrative Assistant

Join the largest coffee retail company in the country! This global brand is seeking a Sr. Administrative Assistant to support leaders within the International Retail Operations and Global Coffee teams. In this highly visible role, you'll provide executive-level administrative support, coordinate complex schedules and travel, plan meetings and events, and help keep day-to-day operations running smoothly in a fast-paced, collaborative environment.

The Sr. Administrative Assistant will provide admin support to multiple leaders, anticipating business needs, managing competing priorities, and ensuring seamless execution of administrative and operational activities. The ideal candidate is highly organized, proactive, adaptable, and thrives in an environment where no two days are the same.

Sr. Administrative Assistant Responsibilities:

  • Provide proactive administrative support to leaders across the International Retail Operations and Global Coffee teams.
  • Manage complex executive calendars, scheduling meetings and resolving conflicts while balancing shifting priorities.
  • Coordinate domestic and international travel, including itineraries, accommodations, and travel logistics.
  • Plan and coordinate onsite and virtual meetings, including room reservations, audiovisual support, catering, agendas, and meeting materials.
  • Organize onsite events, including venue coordination, travel arrangements, lodging, supplies, and event logistics.
  • Prepare and process executive expense reports accurately and in a timely manner.
  • Provide day-to-day operational support, communications, and administrative assistance to ensure leaders can focus on strategic business priorities.
  • Anticipate changing business needs, independently reprioritize work, and maintain a high level of organization and attention to detail.

Sr. Administrative Assistant Qualifications:

  • 7+ years of progressive administrative experience supporting executives or senior leaders in a fast-paced environment.
  • 7+ years of experience managing complex executive calendars, coordinating domestic and international travel, and planning meetings, events, or special projects.
  • Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and virtual collaboration tools.
  • Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
