This is a highly visible and trusted role that serves as a partner to the CEO, providing executive administrative and organizational support in a dynamic, fast-paced environment. The Executive Assistant plays a critical role in maximizing the CEO's effectiveness by driving follow-through, managing priorities, expanding bandwidth, and ensuring seamless coordination of key engagements, communications, and deliverables.
The ideal candidate is proactive, highly organized, and anticipates needs before they arise. This person is a thoughtful problem solver who thrives in a role requiring discretion, sound judgment, and exceptional attention to detail. Success in this role requires someone who can shift effortlessly between strategic support and hands-on execution, while building strong relationships across all levels of the organization.
In this role, you will help support the day-to-day operations of the CEO's office through executive calendar management, coordination of meetings and travel, project follow-up, communication support, and process improvement initiatives. You will serve as a trusted partner in helping move priorities forward while supporting the mission and continued growth of the organization.

What you'll do

  • Calendar & Schedule Management: Deliver strategic calendar management for the CEO. Coordinate meetings and prioritize commitments to ensure alignment with company priorities. Manage personal appointments as needed.
  • Email & Comms Management: As the role evolves, take on increasing responsibility for managing the CEO's emails and other forms of communication, delegating tasks to appropriate team members. Track action items to prioritize critical decisions and organize & save key documents.
  • Travel & Logistics Management: Coordinate travel for the CEO and other senior leaders including travel itineraries, accommodations, transportation, dining, and conference/event registrations.
  • Meeting Support: Plan, execute, and manage logistics for leadership and key strategic meetings. May also include coordinating arrangements for internal/external participants, handling logistics of guests, taking notes, and preparing and disseminating meeting materials.
  • Relationship Management: Foster and maintain strong relationships by managing both personal and professional gifting, maintaining an organized Outlook contact list, and developing a CRM database to track and engage key strategic contacts.
  • Other:
    • Manage monthly individual expense tracking and approvals.
    • Run errands, which may require driving a vehicle.
Qualifications
  • 5+ years of experience as an Executive Assistant or similar support role.
  • Experience with executive level calendar management.
  • Proficient in Microsoft Office Suite, with a focus on Outlook, Word, and PowerPoint.
  • Exceptional business writing skills, including editing for accuracy, clarity, and concision.
  • Expert verbal and written communication skills with an ability to communicate at all levels within the organization.
  • Demonstrated experience in maintaining confidentiality and privacy during sensitive situations and able to use discretion with communications.
  • Excellent organization and time management skills, including the ability to prioritize multiple tasks and meet changing deadlines and requests.
  • High integrity & sound judgement in decision-making.
