Job description

POSITION SUMMARY

Reporting directly to the CEO / VP, the Executive Assistant works independently to perform a wide range of complex and confidential administrative and clerical support duties. This role requires excellent communication and interpersonal skills, the ability to interface with a wide range of internal and external contacts, and a thorough understanding of company policies and procedures.

KEY RESPONSIBILITIES

  • Provide comprehensive administrative support to the highest-ranking executive(s) in the organization

  • Serve as the principal administrative contact and liaison with all company constituents and external contacts

  • Develop, implement, and administer departmental office systems and procedures

  • Review, assess, route, answer, and monitor follow-up action steps on correspondence

  • Gather and analyze information required for administrative reporting

  • Prepare and edit letters, memoranda, reports, presentations, and other materials

  • Use multiple technical applications including word processing, database management, spreadsheets, graphics, and presentation software

  • Manage complex calendars and arrange meetings, appointments, and travel

  • Coordinate events including conferences, seminars, and off-sites

  • Purchase and maintain inventory of office supplies

  • Perform research and summarize findings for executive review

  • Create and maintain filing systems

  • Answer and route phone calls, mail, and email; handle information dissemination as needed

REQUIRED QUALIFICATIONS

  • 5+ years of related experience with proven office administration and customer service skills

  • Solid working knowledge of office processes, business policy development, and related computer software
