Job Description:

We are seeking an experienced Senior Administrative Assistant to provide high-level administrative support to senior executives during a temporary coverage period. This individual will work closely with an established Executive Assistant and help manage the day-to-day administrative needs of C-Suite and senior-level leaders.

The ideal candidate is organized, adaptable, professional, and able to remain calm when priorities and schedules change quickly. This role is ideal for someone who enjoys staying busy, managing multiple moving pieces, and working in a highly visible environment.

Key Responsibilities:

  • Manage and coordinate executive calendars, including scheduling meetings, adjusting priorities, and resolving scheduling conflicts.
  • Arrange domestic and international business travel, including flights, hotels, transportation, and detailed itineraries.
  • Prepare and process executive expense reports using Concur and ensure expenses are submitted accurately and on time.
  • Provide day-to-day administrative support to a C-Suite executive and one or more SVP-level leaders.
  • Partner with the Executive Assistant team to coordinate executive schedules, travel, and administrative priorities.
  • Assist with meetings and quarterly business reviews by coordinating conference rooms, catering, materials, name tags, and other logistics.
  • Communicate professionally with executives, internal teams, and external contacts while representing senior leadership.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Adjust quickly to changing deadlines, shifting priorities, and last-minute executive requests.
  • Assist with additional administrative projects and responsibilities as needed.

Qualifications:

  • 5+ years of experience providing high-level administrative support to VP, SVP, or C-Suite executives.
  • Previous C-Suite support experience is preferred but not required.
  • Strong experience with Microsoft Outlook and PowerPoint.
  • Experience with Concur is highly preferred.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Strong judgment and discretion when handling confidential information.
  • Professional, positive, and service-oriented approach.
  • Comfortable working in a fast-paced environment where priorities can change quickly.
  • Bachelor’s degree preferred but not required.
  • Must be comfortable completing a background check and drug screening.
