About This Role:
The Guest Services Assistant oversees Villa guest services during evening hours and serves as the primary point of contact in the absence of other staff. This position ensures the safety and security of Villa Maria del Mar and the retreatants, while performing assigned household and administrative duties.

The role requires evening shift coverage from 4-9pm Monday-Friday with occasional weekend coverage.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Guest Services

1. Provide after-hours front office support. Serve as the primary contact for guests and volunteer hostesses during shift.

2. Assist retreatants and visitors with check-in procedures, including late arrivals; issue and program key fobs; address registration or guestroom concerns; and respond promptly to amenity requests and basic guest needs.

3. Support guest technology needs, including Wi-Fi access, and basic AV assistance as necessary

4. Maintain the gift shop, ensuring cleanliness, organization, restocking, and accurate transaction processing; assist with inventory tracking.

5. Conduct routine inspections of public areas to ensure a clean, safe, and welcoming environment.

Operations & Administrative Support

6. Complete daily operational tasks, including key audits and evening checklists.

7. Provide evening housekeeping support, including room preparation, light cleaning, trash removal, and assisting with laundry operations as needed.

8. Respond to private retreat inquiries professionally and assist with tracking statistics.

9. Provide administrative and clerical support, including correspondence, data entry, documentation of maintenance issues, preparations for incoming groups and maintaining guestroom records.

10. Assist the Villa Director on special projects, including SOP development, marketing support, preventative maintenance checks, and sponsored retreat coordination.

11. Participate in regular staff and management meetings.

Safety & Security

12. Perform routine security checks of buildings and grounds, including verifying locks, fire safety access points, and evening lighting.

13. Serve as the first point of contact for onsite emergencies during shift; respond in accordance with Villa procedures, prioritizing safety and coordinating with emergency services as needed.

14. Independently carry out emergency shut-off procedures when required.

15. Report incidents, injuries, and unsafe conditions promptly, following established documentation protocols.

QUALIFICATIONS:

Education: A high school diploma or its equivalent. Must speak and read English well; Spanish language is a plus.

Experience: Background in roles requiring knowledge of security, housekeeping, guest services, and basic maintenance.

11. Ability to learn and maintain office procedures and systems.

12. Basic maintenance skills, including the ability to perform minor tasks such as changing lightbulbs and smoke detector batteries.

13. Demonstrated ability to remain calm under pressure and effectively manage high-stress and emergency situations.

PHYSICAL DEMANDS AND/OR WORK ENVIRONMENT:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

1. This position may entail prolonged periods of standing, sitting and/or walking.

2. Must be able to routinely climb stairs, including outdoor fire escape stairway.

3. Must be able to reach and lift overhead up to 25 pounds.

4. Sometimes unanticipated physical assistance to residents may be required involving lifting, reaching, bending and stooping.

5. Some exposure to common cleaning materials that may require gloves or a mask.

HOURS: Part-time; 20-29 hours per week, Sunday through Friday. Hours based on occupancy.
PAY RATE: $23/hr

HOLIDAY CLOSURE SCHEDULE: The Villa is closed during the week of Thanksgiving and for two weeks between Christmas and New Year’s Day. Employees are not scheduled to work during these periods.
