Job description

Position Summary:
Under limited supervision performs duties related to the schedule of surgical cases. Enters post-operative data, prepares patient charges, prints and distributes various reports including the daily surgical schedule.
Essential Functions and Responsibilities:
1. Schedules surgical procedures via the physicians' office and/or the physicians directly.
2. Notifies physicians, patients, and other departments of necessary information.
3. Updates OR schedule accordingly to accommodate the newly scheduled cases and to better utilize OR staff. Notifies appropriate departments about new or cancelled cases or schedule changes.
4. Schedules add-on and emergency cases from the main OR desk. Contacts physician office for appropriate information.
5. Prepares and processes patient charges from completed cases.
6. Prints and distributes various reports including the daily surgical schedule.
7. Performs routine clerical functions while at the main OR desk. (file, copy, fax, order supplies, answer phone).
8. Reviews operating room records for accuracy and completeness.
9. Receives and transmits communication utilizing the paging and computer system.
10. Receives and directs visiting personnel, guarding nursing station against unauthorized personnel and personnel without proper operating room attire.
11. Performs required computer procedures as assigned.
12. Performs other related duties as required and directed.
Oakland Sub Specific Responsibilities:
  • Conduct Joint Club patient education visits in coordination with PAT Nurse & Physical Therapy prior to surgery.
  • Round with Joint Club patients who are admitted after surgery.
  • Create JC folders, print and put together materials, replenish PAT folders when low.
  • Cover the OR Front Desk when necessary.
  • Board surgical cases in coordination with surgeons, offices, anesthesia, charge nurse and department leaders when necessary.
  • Notify ODS & CSR of any same day add on's or cancellations.
  • Coordinate/finalize Endoscopy schedule with surgeons' offices.
  • Lock in schedules 3 business days in advance.
  • Confirm schedule the day before with office.
  • Notify PAT Dept once calls can be made before 1:30pm.
  • Scribe for Surgical Services meetings - 1st/3rd Thursday's 7:00am.
  • Update all communication binders with Meeting Minutes, Meeting Sign-In Sheets, Attestation Sheets and any attachments.
  • Every morning email OR schedule for the day of to Leadership Email Group, and email the following days OR schedule to Nursing Email Group.
  • Print huddle schedules (around 12:30 every day and 10am on Thursday mornings).
  • Print finalized copies of the next day's schedule for the OR Front Desk and Lab (end of every day).
  • Cover Surgical Waiting Room when necessary.
  • Print/cut out pink contact slips for Surgical Waiting Room.
  • Update Block Times in Cerner with IT.
  • Close OR rooms for the next day to reflect staffing availability after huddle.
  • Fill out and distribute Daily Call Lists at the end of every month for the next upcoming month.
  • Link Anesthesia to Cath Lab cases when requested and approved by Anesthesia and Charge Nurse.
  • Confirm Cath Lab cases that need Anesthesia the day prior and notify Charge Nurse (Every day around 2:30pm).
  • Missing auth list sent out daily by FCC, reach out to any offices/surgical coordinators to collect missing authorizations or reschedule (if necessary) per office.
  • Print copies of OR Nursing Orientation binders.
  • Print off and replenish copies of OR Front Desk Documents: Payroll Exemption Sheets, Daily OR Staff Rosters, Staff Scheduling and Maintenance Legal Sheets, Green OR Suite Duty Logs, etc.

Qualifications:
Required:
• High School Diploma or GED
  • Posses two (2) years job-related experience

Preferred:
• Experience with Cerner scheduling module
• Experience with surgical boarding
