Job description

The Health Unit Coordinator (HUC) is responsible for administrative and clerical support for clinical staff and Providers. This position requires multitasking, excellent customer service, and communication skills with providers, patients, and vendors.

CORE RESPONSIBILITIES:ย 

  • Answer incoming telephone calls to the pod as back up to the clinical team.ย ย 
  • Schedule patients for all routine appointments,ย follow-upsย and ancillary appointments via the portal and/or phone.ย 
  • Complete forms necessary for patient appointmentsย includingย printing, assembling, and mailing patient packets and sending questionnaires electronically to patients.ย 
  • Maintainย up-to-dateย paperwork (patient education, ABNs, etc.)ย 
  • Assistย with manual faxing and scanning of urgent paperwork as needed.ย 
  • Monitor and prioritize encounters and actions fromย podย administrative bucket.ย 
  • Monitor automated confirmations calls, update EMR and follow up with patients who have not yet confirmed their visits.ย 
  • Prepare, generate, and mail patient letters, including no-show notifications, unable-to-reach letters, overdue reminders, out-of-work/school documentation, and lab results for patients not enrolled in the patient portal.ย 
  • Update patient demographics including phone number, insurance card information, etc.ย 
  • Create andย maintainย accurate, up-to-date patient charts to support clinical workflows and documentation compliance.ย 
  • Coordinate and manage incoming referrals, ensuringย timelyย processing andย appropriate follow-up.ย 
  • Monitor andย maintainย administrative supply levels within the pod, manage and sort theย Endocrinologyย printer basket, and ensure the pod workspaceย remainsย clean and organized.ย 
  • Troubleshooting of telehealth visits with physicians and patientsย 
  • Obtain outside records as needed (hospital notes, labs, imaging, new patient records, etc.) and communicate directly with HIMย ย 
  • Utilize EPIC read only access to complete real timeย 
  • Reschedule patients for providers out of the office (vacation, sick days, OB, etc.)ย 
  • Check patients out as capacity allows and follow up with any patient who did not checkย out fromย their appointment if necessary.ย 
  • Print specimen labels,ย AWVs, andย visit summariesย andย coordinate theย timelyย faxing of clinical notes to external specialists.ย 
  • Maintains strict confidentiality in alignment with HIPAA (Health Insurance Portability and Accountability) guidelines and InterMed policies.ย 
  • Perform other duties to support the mission,ย visionย and values of InterMed.ย

The estimated compensation range is the budgeted amount for this position. Final offers are based onย various factors, including skill set, experience, location, qualifications, and other job-related reasons.
