About the Role

We are seeking an organized, detail-oriented Pressroom Administrative Assistant to keep our printing operations running smoothly. In this role, you will provide operational support for the press room, supporting managers, tracking job orders, managing inventory, and handling daily administrative workflow to ensure deadlines are met without a hitch.


Key Responsibilities

  • Job Tracking & Scheduling: Log incoming press orders, prepare job tickets, update production schedules, and track job status through completion.
  • Inventory & Materials Management: Monitor stock levels of paper, ink, and press supplies; assist with purchase orders and coordinate with vendors/deliveries.
  • Data Entry & Reporting: Enter daily production logs, waste reports, and press run times into the management system with high accuracy.
  • Communication Hub: Serve as the liaison between the press room team, sales, and shipping departments to clear bottlenecks.
  • Administrative Support: Maintain equipment maintenance logs, file job jackets, assist with timecard/shift logging, and keep the press room office organized.

Qualifications & Skills

  • Experience: 1–3 years of administrative or production support experience (experience in commercial printing, packaging, or manufacturing is a strong plus).
  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, Outlook); experience with print MIS/ERP software (e.g., EFI, Avanti) is preferred.
  • Organization: Exceptional attention to detail, strong multitasking abilities, and a knack for prioritizing in a fast-paced environment.
