Job Description:

The Production and Mailroom Senior Associate supports Firmwide production, mailroom, and related office services by delivering high-quality print production, shipping, receiving, and mail operations. This role serves as a technical and operational resource responsible for production workflows, equipment support, vendor coordination, reporting, and continuous process improvement.

Working closely with the Production and Mailroom Services Leader, the Senior Associate helps ensure consistent service delivery, operational efficiency, and compliance with Firm standards while providing technical expertise, training, and exceptional client service. This role partners with internal clients, IT, vendors, and office teams to enhance service delivery and support Crowe's sustainability initiatives.

Key Responsibilities:


Production Services

  • Coordinate and execute Firmwide production requests while ensuring quality, accuracy, compliance, and adherence to Firm branding standards.

  • Operate and troubleshoot production equipment, perform quality assurance reviews, and support document formatting and specialized production projects.

  • Partner with production centers across the Firm to maintain consistent quality, branding, and service delivery

Mailroom Operations

  • Support Firmwide mailroom operations, including shipping, receiving, certified mail, courier services, package tracking, and postage reconciliation.

  • Monitor critical shipments, resolve service issues, and maintain established mail handling procedures.

Operations & Technology

  • Support production equipment by troubleshooting issues, coordinating vendor service, monitoring supplies, and maintaining equipment readiness.

  • Monitor work requests, maintain operational reporting, and ensure service level agreements are achieved.

  • Identify opportunities to improve workflows, reporting, technology utilization, and sustainable business practices.

Leadership & Client Support

  • Review work completed by team associates and assist with onboarding, training, and day-to-day guidance.

  • Partner with the Production and Mailroom Services Leader to develop procedures, improve processes, and maintain service standards.

  • Build strong relationships with internal clients, vendors, IT, and office teams to deliver responsive, high-quality service..

Qualifications:

  • 2-4 years of experience supporting production services, mailroom operations, or office services.

  • Experience operating production-grade printers and related print technologies.

  • Advanced proficiency in Adobe Acrobat, Photoshop, Microsoft Word, Excel, and PowerPoint.

  • Strong project management, organization, communication, and problem-solving skills.

  • Ability to manage multiple priorities while maintaining exceptional attention to detail and confidentiality.

Preferred Skills:

  • Experience in a professional services environment.

  • Experience with ServiceNow or similar work request platforms.

  • Knowledge of digital print production software and document formatting.

  • Experience training team members and improving operational processes.

  • Strong customer service skills with a commitment to quality and continuous improvement.

Additional Information:

  • This role requires working onsite at the South Bend office location.

  • Flexibility in schedule, including overtime during peak production periods, may be required.

  • Occasional travel may be required for training, meetings, or Firm events.

At Crowe, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $21.75 - $44.50 per hour.
