WHAT YOU'LL DO:
The Print Production Coordinator will support onsite proposal production, document formatting, notary coordination, packaging, shipping, and time-sensitive delivery of compliant public-sector proposal submissions. In this role, you will:
  • Review RFPs, amendments, addenda, and submission instructions to confirm hardcopy requirements, deadlines, time zones, copy counts, labels, tabs, binders, forms, signatures, notary needs, media, packaging, and delivery rules.
  • Maintain production checklists, trackers, schedules, and status updates showing what is due, missing, ready to print, shipped, or delivered.
  • Print, assemble, proof, package, ship, and coordinate delivery of hardcopy proposal packages, including same-day production when needed.
  • Coordinate courier scheduling, carrier drop-offs, local hand deliveries, delivery receipts, and other time-sensitive submission logistics.
  • Conduct final quality-control checks for page order, copy counts, required forms, signatures, notarizations, tabs, binders, sealed envelopes, media, packaging, and shipping labels.
  • Coordinate notary and signature needs, including original signatures, witnesses, seals, notary records, supplies, and special handling.
  • Support document formatting and proposal tasks in Word, Excel, PDF, SharePoint, Microsoft Teams, shared inboxes, research, writing, and coordination as workload allows.

WHAT YOU'LL BRING:
  • Ability to work full-time onsite in Salt Lake City. This role is not remote or hybrid.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities, meeting deadlines, and maintaining attention to detail.
  • Strong attention to detail and the ability to follow detailed written instructions exactly.
  • Working knowledge of Microsoft Word and Excel, with willingness to expand into document formatting, including tables, headers and footers, pagination, PDF conversion, trackers, checklists, forms, and schedules..
  • Ability to read RFP submission instructions and translate them into production steps and quality-control checks.
  • Demonstrates organization, time management, and clear communication while managing assignments and providing timely updates on progress or challenges.
  • Ability to protect confidential, proprietary, and client-sensitive proposal materials.
  • Ability to operate office production equipment, handle production materials up to 25 pounds with accommodation as needed, and complete local business travel using a valid driver's license with acceptable motor vehicle record and required auto insurance.

EDUCATION AND EXPERIENCE:
  • Bachelor's degree in Marketing, Business Administration, or a related field (or equivalent industry specific experience).
  • Ability to obtain a Utah notary public commission after hire, subject to Utah eligibility and company policy.
  • Familiarity with proposal or document production, administrative support, document control, , contracts, or similar deadline-driven work.
  • Familiarity with public-sector or procurement submissions, document formatting tools such as Adobe Acrobat or InDesign, and collaboration platforms including SharePoint, Microsoft Teams, Outlook, and shared inboxes is preferred.
