Physician Sourcing & Recruitment Coordinator
Job Summary: The Physician Sourcing & Recruitment Coordinator ("Coordinator") supports the identification, recruitment, and pre-boarding of physicians across the organization. Working closely with the Physician Recruiter and Senior Director of Physician Support Services, this role proactively sources prospective physician candidates, coordinates interviews and site visits, manages recruiting logistics, maintains candidate pipelines, and delivers a professional, high-touch candidate experience.
The Coordinator serves as a consistent point of contact for candidates throughout the recruitment and pre-boarding process, helping ensure timely communication, organized coordination, and a seamless transition from initial outreach through the physician's start date and integration into the organization.
Primary Job Responsibilities:
1. Physician Recruitment Coordination:
โ€ข Coordinate and schedule physician candidate interviews, site visits, dinners, and leadership meetings.
โ€ข Develop and distribute detailed candidate itineraries.
โ€ข Serve as the primary point of contact for candidate travel, lodging, transportation, and onsite logistics.
โ€ข Prepare interview materials, candidate packets, CV summaries, and briefing information for interview teams.
โ€ข Ensure timely communication with candidates before, during, and after interviews.
โ€ข Assist with maintaining physician recruiting calendars and recruiting meeting agendas.
โ€ข Support physician recruiting events, conferences, networking activities, and residency outreach initiatives
2. Candidate Experience & Relationship Management
โ€ข Deliver a high-touch, concierge-style experience for physician candidates and their spouses/partners
โ€ข Coordinate community tours, relocation visits, and introductions to physician and operational leaders.
โ€ข Facilitate post-interview follow-up communications and feedback collection.
โ€ข Assist in maintaining candidate engagement throughout the recruitment process.
โ€ข Help promote Tryon's culture, values, practice model, and physician experience.
โ€ข Recruiting Administration & Pipeline Management
3. Physician Sourcing, Recruiting Administration & Pipeline Management
โ€ข Proactively identify prospective physician candidates through physician databases, professional associations, residency and fellowship programs, conferences, referrals, social media, and other sourcing channels.
โ€ข Conduct recruiting research and develop candidate pipelines for current and anticipated physician recruitment needs.
โ€ข Initiate outreach to prospective physician candidates through email, telephone, professional networking platforms, and other approved communication channels.
โ€ข Maintain ongoing communication with prospective candidates to assess interest and support continued engagement.
โ€ข Partner with the Physician Recruiter and Senior Director of Physician Support Services to develop sourcing strategies for priority specialties and markets.
โ€ข Maintain accurate and timely candidate information, outreach activity, follow-up dates, and recruitment status within the applicant tracking system, recruiting database, or CRM
โ€ข Monitor candidate progress through each stage of the recruitment lifecycle and identify items requiring follow-up.
โ€ข Prepare candidate summaries, sourcing reports, pipeline updates, and recruiting activity reports.
โ€ข Support physician recruiting events, conferences, networking activities, medical school outreach, and residency and fellowship engagement.
โ€ข Track sourcing activity and recruiting outcomes, including outreach volume, candidate response rates, pipeline growth, and candidate progression.
4. Pre-Boarding Coordination
โ€ข Support physician pre-boarding activities following offer acceptance.
โ€ข Coordinate pre-boarding meetings involving HR, credentialing, legal, operations, and physician leadership.
โ€ข Track completion of pre-employment requirements and onboarding milestones.
โ€ข Facilitate communication between candidates and internal stakeholders regarding onboarding requirements.
โ€ข Assist with welcome communications and preparation for physician start dates.
5. Cross-functional Coordination
โ€ข Partner with HR, Credentialing, Operations, Finance, Marketing, Legal, and Physician Leadership to support physician recruitment and onboarding efforts.
โ€ข Ensure consistent communication and timely follow-up among all stakeholders.
โ€ข Escalate potential onboarding delays, credentialing concerns, or candidate experience issues for resolution.
โ€ข Support continuous improvement efforts related to physician recruitment and physician support workflows.
Education
โ€ข Bachelor's degree in Human Resources, Business Administration, or a related field
Experience and Qualifications:
โ€ข 2 - 4 years of recruiting experience; physician, healthcare, or agency recruiting experience preferred
โ€ข Highly organized and detail-oriented
โ€ข Strong event planning and project coordinating experience
โ€ข Comfortable and confident interacting with physicians and executives
โ€ข Excellent written and verbal communicator
โ€ข Service-minded and relationship-focused
โ€ข Able to manage multiple timelines simultaneously
โ€ข Discretion and the ability to maintain confidentiality is of the utmost importance
โ€ข High initiative, integrity, strong work ethic, good communication and analytical skills.
โ€ข Computer proficiency in Outlook, Word, Excel and PowerPoint.
Physical Requirements:
โ€ข Requires in-office presence in Charlotte, NC (not a remote position)
