Job description

The Practice Manager oversees the daily operations of an outpatient Child & Adolescent Psychiatry practice, ensuring efficient clinic operations, exceptional patient and family experiences, and high-quality provider support. This role leads administrative and support staff, manages patient access and scheduling, drives operational improvement, and partners with clinical teams to deliver compassionate, patient-centered behavioral health services. The Practice Manager serves as a key liaison between providers, staff, patients, and families while supporting organizational goals and operational excellence.

POSITION SPECIFIC DUTIES & RESPONSIBILITIES:ย  ย ย 

  • Oversee daily operations of the outpatient psychiatry clinic to ensure efficient workflows and service delivery.
  • Develop, implement, and monitor operational policies, procedures, and best practices.
  • Manage clinic schedules, provider templates, room utilization, and patient flow.
  • Monitor key performance indicators (KPIs) including access to care, appointment utilization, no-show rates, provider productivity, and patient satisfaction.
  • Coordinate operational activities across psychiatry, psychology, therapy, care coordination, and support staff as applicable.
  • Foster a positive, collaborative, and patient-centered work environment.
  • Conduct performance evaluations and implement performance improvement plans when necessary.
  • Develop staffing schedules and ensure adequate coverage.
  • Promote employee engagement, retention, and professional development.
  • Promote a welcoming, compassionate environment for children, adolescents, and families.
  • Address patient and family concerns, complaints, and service recovery activities.
  • Implement initiatives to improve access, communication, and overall patient satisfaction.
  • Ensure confidentiality and compliance with HIPAA regulations.
  • Ensure compliance with federal, state, local, and accreditation requirements.
  • Support quality improvement initiatives and patient safety programs.
  • ย Participate in audits and corrective action planning as needed.
  • Support psychiatrists, psychiatric nurse practitioners, psychologists, therapists, and clinical staff in achieving productivity and quality goals.
  • Assist with provider onboarding, credentialing, scheduling, and operational needs.
  • Facilitate communication between providers and administrative teams.
  • Identify opportunities to improve provider efficiency and reduce administrative burden.
  • ย Collaborate with IT to resolve operational issues.
  • ย Support business development and growth initiatives.
  • ย Participate in strategic planning and service line expansion efforts.

QUALIFICATIONS

education:

  • Must be a high school graduate or have HS equivalent
  • . Bachelor's degree in Healthcare Administration, Business Administration, Behavioral Health, Public Health, or related field preferred.

EXPERIENCE:

  • Preference given to individuals with 2 or more years of supervisory and administrative experience, particularly in healthcare environment.
  • Must be able to demonstrate basic proficiency with Microsoft office software.
