Position: Litigation Practice Assistant (Global Law Firm)

Location: New York, NY (Hybrid)

Summary

Join a prestigious global law firm as a Litigation Practice Assistant, providing high-level administrative and practice support to partners within a designated litigation practice group. Working closely with attorneys, Business Development & Marketing, Client Accounting, People Strategy, Conference Services, and other Firm departments, you'll manage complex calendars and travel, coordinate client and internal meetings, support new business and business development activities, and handle a variety of time-sensitive administrative projects.


Responsibilities for Litigation Practice Assistant:

  • Provide high-level administrative support to litigation partners, including complex calendar management, scheduling, travel coordination, time entry, expense reports, and vendor invoices
  • Manage high-volume partner inboxes, prioritize time-sensitive communications, track outstanding items, and coordinate follow-up
  • Prepare engagement letters, new matter memoranda, weekly matter reports, and other practice group materials while coordinating with Client Accounting on billing and new business matters
  • Support business development and marketing initiatives, including pitches, presentations, conferences, sponsorships, client activity tracking, and maintaining contact records in InterAction
  • Coordinate practice group meetings, trainings, communications, and other initiatives with People Strategy and various Firm departments
  • Coordinate internal and client meetings with Conference Services, including audio-visual, catering, and external vendor arrangements, while providing professional service to clients and visitors
  • Maintain administrative files and records, monitor relevant docket and calendar notices, and perform document management and other administrative tasks and special projects


Qualifications for Litigation Practice Assistant:

  • Bachelor's degree required
  • 2+ years of related administrative experience in a law firm or professional services environment
  • Experience supporting attorneys or senior professionals in a complex, fast-paced environment; litigation experience preferred
  • Strong organizational and time-management skills with the ability to manage competing priorities and shifting deadlines
  • Proficiency with Microsoft Office, including Outlook, Excel, and PowerPoint; advanced Excel skills and experience with InterAction preferred
  • Excellent written and verbal communication skills, strong attention to detail, and a high level of professionalism
  • Ability to handle confidential information, work effectively under pressure, exercise sound judgment, and collaborate effectively with attorneys and business services professionals; must be a New York Notary Public or able to obtain a commission within six months of joining the Firm
