Job description

Medical Receptionist – Front Desk | Pediatric Associates of Alexandria

About Us

At Pediatric Associates of Alexandria, we've built our practice around one thing: being there for kids and the families who love them. With three convenient locations — Inova Healthplex, Potomac Yard, and Duke Street — and hours seven days a week, we're committed to being accessible, compassionate, and thorough for every patient who walks through our doors, from newborns to teenagers across Northern Virginia, Maryland, and the DC area.

Our front desk team is the heartbeat of that experience. You're the first face families see and the first voice they hear.

The Role

We're looking for a warm, organized, and detail-oriented Medical Receptionist to join our front office team. If you're someone who genuinely enjoys connecting with people, keeps their cool in a busy environment, and takes pride in making things run smoothly, you'll fit right in here. Pediatric experience or a love of working in a kid-friendly environment is a big plus!

What You'll Do

  • Be the welcoming first point of contact for patients and families — greet, check in, and check out with care and efficiency
  • Answer and manage incoming calls, take detailed messages, and route them appropriately
  • Verify insurance coverage and collect accurate demographic and billing information
  • Collect co-payments and patient balances, and clearly explain account information
  • Schedule, reschedule, and cancel appointments in our system (we use ECW — familiarity is a plus!)
  • Maintain organized patient charts and create new ones as needed
  • Keep the waiting area clean, tidy, and welcoming throughout your shift — because first impressions matter
  • Open or close the office depending on your shift (turning on/off equipment, securing the space)
  • Complete morning and evening tallies accurately
  • Document everything — if it's not in the chart, it didn't happen
  • Pitch in wherever needed; we're a team and we support each other

What We're Looking For

  • High school diploma or GED required; Associate's degree preferred
  • At least 1 year of experience in a medical office or administrative setting
  • Familiarity with ECW (eClinicalWorks) is a definite plus
  • Comfortable navigating a fast-paced environment and shifting priorities on the fly
  • Strong communication skills — you can talk to a nervous parent and a grumpy toddler with equal grace
  • Proficient in Microsoft Office and comfortable with standard office technology
  • Detail-oriented and organized — you catch things others miss
  • A team player who can also hold down the fort independently
  • Positive, patient-centered attitude — always

Schedule & Hours

We offer both AM and PM shifts to fit a range of schedules:

AM Shift: Monday–Friday, 5:45 AM–1:30 PM

PM Shift: Monday-Thursday 12:45-8:30PM, Friday 11:45-6:30PM.

Weekend Rotation Required: Saturday or Sunday, 7:45 AM–12:30 PM

Why PAA?

  • Be part of a well-established, community-trusted pediatric practice with 15+ providers
  • Work in a bright, kid-friendly environment where no two days are the same
  • Join a team that genuinely cares — about patients, families, and each other
  • Multiple locations with consistent scheduling
  • Open 7 days a week means real flexibility in scheduling options

Ready to be the friendly face that makes a family's day a little easier? We'd love to meet you. Apply today!
