Job Summary:

Provides technical, administrative support to Facility Project Manager in overseeing compliance with Airbus FMRE policies and procedures

Provides technical, administrative facility project management support to Facility and Project Managers across the NA facility portfolio.

Drives assigned facility management projects and programs end-to-end

Assists HQ Facility Manager with miscellaneous facility tasks as needed

Communicates effectively with all stakeholders using strong verbal and technical writing skills . Position based out of the Mobile Final Assembly Line facility.

Technical Project Management Administrative Support

  • Prepare project management reports and meeting minutes
  • Organize all project documentation and artifacts including SOWs, quotes, POs, contracts, budgets and schedules
  • Supports Facility Project Manager in improvement and building of standard facility project management procedures

Project Planning Services:

  • Support project management team on projects and assignments.
  • Demonstrate a proactive focus on meeting client / project requirements in a timely and cost-effective manner.
  • Demonstrate proficiency in the use and application of all PDS technology as required for assigned projects.
  • Comply with all JLL policies and procedures, including but not limited to ethics and code of conduct.
  • Provide administrative and record keeping support on behalf of assigned projects according to JLL's standards for document management.
  • Collaborate directly with the Facility Project Managers and Project Coordinators to ensure schedule alignment portfolio wide with project milestones and objectives
  • Perform schedule analysis to identify and mitigate risks
  • In still appropriate change management and control, and provide status reports Conduct schedule reviews and contribute to the overall planning and execution of ongoing and new projects.
  • Monitor progress and reporting on delays or schedule slippage for a range of projects Support Project Managers with project dossier establishment and approvals
  • Monitor project spend using internal tools
  • Use KPI's to measure vendor performance
  • Identify potential financial or logistical risks before they impact projects Assist project managers in the execution of project related activities
  • Reviews change requests to construction design and prepare recommendation for review/approval by Facilities Management
  • Recommend and manage initiatives to improve service delivery considering both cost and quality
  • Lead planning/scheduling meetings and attend project status meetings as required Address contractual and technical issues with the project team to ensure clear understanding of the project scope is maintained.
  • Responsible for working with Project managers and coordinators to send out communications for campus outages and closures as required.
  • Uses departmental software to maintain files and project information Promote safety culture across sites including with customers, subcontractors, suppliers and support EHS program requirements
  • Assistance with other administrative tasks

Education/training:
Bachelor Degree or 5+ years of Facilities or Construction Experience

Years of relevant experience:
5+ years practical experience (Facilities, Real estate support, project management experience preferred)

Skills and knowledge:

  • Strong interpersonal skills with the ability to interact with executive level internal & external clients Organizational & detailed oriented with the ability to prioritize and manage differing needs of the business
  • Basic proficiency with Microsoft Office/ Google Suite products
  • Knowledge of construction or commercial real estate industry
  • Strong knowledge of Google Workspace
  • Knowledge of Microsoft Project or equivalent project management tools
  • Ability to work collaboratively with various teams and departments
  • Ability to work with minimum supervision
