Job description

The Executive Assistant, Accounting provides high level, strategic administrative and operational support to the Chief Accounting Officer (CAO) and three (3) Accounting Vice Presidents. This role serves as a trusted partner to senior leadership by enabling effectiveness, alignment, and execution across enterprise accounting functions. The Executive Assistant manages complex executive schedules, sensitive financial and compliance information, and supports critical accounting activities including close cycles, audits, regulatory compliance, and leadership coordination. This role requires sound judgment, discretion, and the ability to operate with a high degree of autonomy.
This position sits within our Atlanta based Global Support Center with an expectation to be onsite 100% of the time.
RESPONSIBILITIES
Executive-Level Calendar, Workflow & Priority Management

  • Manage highly complex, dynamic calendars for the Chief Accounting Officer and three Accounting Vice Presidents.
  • Serve as a gatekeeper for executive time, prioritizing requests and resolving scheduling conflicts.
  • Anticipate scheduling needs connected to accounting cycles (monthly close, quarter-end, year-end, audits, board and executive meetings).
  • Coordinate high-visibility and cross-functional meetings with senior leaders and enterprise partners, including FP&A, Tax, Legal, Internal Audit, and external auditors.
  • Track follow-ups, action items, and deadlines to ensure alignment and execution.
Executive Communication, Presentation & Document Support
  • Prepare executive-level presentations, agendas, talking points, and recurring financial materials for leadership and governance meetings.
  • Draft, proofread, and format correspondence and communications on behalf of the CAO and Accounting VPs.
  • Handle highly confidential, sensitive financial, audit, compliance, and personnel information with the utmost discretion.
  • Maintain organized, secure documentation repositories related to audits, compliance, leadership reporting, and key accounting initiatives.
Strategic & Operational Support
  • Provide proactive administrative and operational support across enterprise accounting initiatives and priorities.
  • Coordinate complex workstreams and inputs across Accounting, Finance, and cross-functional partners.
  • Track milestones, deliverables, and dependencies across leadership-level initiatives.
  • Operate independently with minimal direction, exercising sound judgment and a high level of accountability.
  • Adapt quickly to changing priorities in a fast-paced, deadline-driven executive environment.
Audit, Governance & Leadership Engagement Support
  • Support logistics, coordination, and preparation for internal and external audits, including executive meetings and document requests.
  • Assist with planning and execution of Accounting leadership meetings, offsites, executive briefings, and select enterprise events.
  • Partner closely with Accounting leadership to support operational excellence, process improvement, and leadership effectiveness.
EDUCATION & EXPERIENCE QUALIFICATIONS
  • High School Diploma or GED required.
  • Bachelor's degree in Business Administration, Accounting, Finance, or a related field preferred.
  • Minimum of five (5) years of experience supporting senior executives, including C-suite or Vice President-level leaders.
  • Experience supporting Accounting, Finance, or another highly regulated corporate function strongly preferred.
REQUIRED KNOWLEDGE, SKILLS, OR ABILITIES
  • Exceptional verbal and written communication skills.
  • Advanced organizational, time-management, and prioritization skills.
  • Demonstrated ability to manage highly confidential information with discretion and professionalism.
  • Strong executive presence and relationship-building skills.
  • Ability to anticipate needs, think critically, and operate proactively.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with financial systems or ERP platforms preferred.
