Your New Role...

The Senior Business Coordinator (Temporary) works closely with executives and management, providing administrative and operational assistance to all members of the CNN Design team. Responsibilities include high-volume scheduling, administrative support, project management, record upkeep, onboarding and guide staff on corporate policies. This role requires adaptability in a fast-paced environment, with occasional support for high-profile talent. The coordinator must be able to work independently and within a team and be reachable by phone 24/7. The role calls for consistent start times, some flexible evenings and occasional weekend work with overtime.

Your Role Accountabilities...

  • High Volume Scheduling: Exceptional scheduler who can manage busy calendars for two executives, including last-minute adjustments for meetings and travel.

  • Administrative Support: May assist the CNN Design team with on-site requests and other short turnaround needs including workspace requests, conference room setup, catering, ordering of supplies, tours and general administrative help including basic technical support.

  • Expense Reports: Submits expense reports, ensuring all costs are justified and in compliance with company policy.

  • Communication: Must frequently work with Accounting, Finance, Legal, Travel, Network Bookings, People & Culture as well as high-profile outside groups and visiting delegations. Must maintain a visible and engaged presence within the CNN Design group.

  • Project Management: Must attend projects overview meetings. This position includes some political research, interest in the news of Washington politics and policy a plus. Responsible for working independently with outside vendors to negotiate bureau needs.

  • Record Upkeep: monitor, edit, and maintain records, such as staff lists, titles, addresses, contract renewals and PTO allowance.

  • Onboarding: Support team members through the onboarding process, which includes, but is not limited to: 1. Monitoring progress with HR and recruiting. 2. Ordering and distributing/shipping equipment. 3. Creating tickets for software access, email distribution lists, etc. 4. Going over company policies.

  • Allocations: Review, gather, and format allocations for the finance team to ensure an accurate representation of the costs of the team's resources by show team/project. Main point of contact with Finance for the CNN Design team.

Qualifications & Experience...

  • BA preferred, or equivalent experience.

  • 5+ years of strong business operations and administrative experience.

  • Experience managing staff logistics and familiarity with scheduling programs.

  • Experience in media, news, and/or entertainment industry preferred.

  • You are proficient in Microsoft Office programs. You are tech-savvy and quick to learn new tools to support various requests.

  • You have knowledge of a project management software, such as Airtable, to efficiently track project progress, resource allocations and employee PTO.

  • Experience with HR & Finance Software such as Workday

  • You are proficient in expense management, travel coordination, and invoice software.

  • You are an outstanding communicator with a solution-oriented approach and exceptional organizational and interpersonal skills.

  • You have remarkable client service, discretion and time management skills. You thrive in a fast-paced environment and can manage many projects/tasks at once with ease and poise.

  • You excel at fostering relationships across departments and cities to provide seamless service. You are a diplomatic communicator regarding employee requests and bureau policies.

  • You are comfortable in a busy newsroom environment with frequent disruptions.
