Description
Job Summary:
Under the direction of the Director of Community Operations, the Administrative Assistant is responsible for providing direct administrative support to the overall POA office team. They will interface with the residents regularly to resolve their questions and concerns.
Duties and Responsibilities:
- Performs the day-to-day office administrative duties.
- Answers phones, greets all visitors, and represents the department in a professional and courteous manner.
- Maintains Association files, mail, binders, and office supply inventory.
- Inputs work orders as required for maintenance.
- Update all inspection data into the assigned compliance system, including issuing and closing out with consistent enforcement, ensuring completion.
- Upload violations to the Production folder for mail-outs daily.
- Respond to resident inquiries with the information necessary to correct the violation in a timely manner.
- Performs property inspections and follows up on work orders as needed as directed by the Property Manager
- Works independently, with little or no supervision and as part of a team, according to project needs.
- Other duties as assigned.
Qualifications
Qualifications: Administration experience in a homeowner's association, public agency, city government, nonprofit entity, or legal environment is preferred with a dedication to providing excellent client service to members. Associate degree or above preferred or comparable experience. High-level of computer proficiency, specifically Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams) required. Ability to obtain and maintain a valid state of Florida driver's license.

Physical Requirements: Ability to lift to 30 lbs.; work in an upright standing or sitting position for long periods of time, may fluctuate. May handle, finger, grasp and lift objects and packages. Reach with hands and arms, communicate, receive, and exchange ideas and information. Ability to navigate the property/building quickly and easily as required to meet the job functions; complete all required forms. Working Conditions: Most of the work will be completed indoors in a temperature-controlled environment with little to moderate noise levels.
