Locations: Yorba Linda & Newport Beach, CA

SCARS Center and The Appearance Center are premier Dermatology, Skin Cancer, Mohs Reconstruction, and Facial Plastic Surgery practices dedicated to providing exceptional patient care in a welcoming, compassionate, and professional environment. Our nationally recognized physicians and team are committed to delivering the highest standard of medical, surgical, and cosmetic care while creating an outstanding experience for every patient.

We are seeking a highly motivated, organized, and personable Front Office Coordinator to be the face of our practice and help oversee the daily operations of our front desk in both our Yorba Linda and Newport Beach locations.

Key Responsibilities

Patient Experience

  • Warmly greet and check in patients
  • Create a welcoming and professional first impression
  • Ensure a smooth patient experience from arrival through checkout
  • Deliver exceptional customer service at every interaction

Scheduling & Phones

  • Answer incoming calls and respond to patient inquiries
  • Schedule, reschedule, and confirm appointments using the EMR system
  • Optimize provider schedules while minimizing gaps and cancellations
  • Coordinate referrals and follow-up appointments as needed

Administrative Duties

  • Verify insurance eligibility and benefits
  • Collect co-pays, deductibles, balances, and process payments
  • Maintain accurate patient demographics and medical records
  • Obtain required authorizations and documentation when appropriate

Care Coordination

  • Serve as the communication hub between patients, providers, and clinical staff
  • Assist with patient flow to ensure appointments stay on schedule
  • Communicate effectively with all departments to provide outstanding patient care

Office Operations

  • Maintain a clean, organized, and welcoming reception area
  • Assist with daily opening and closing procedures
  • Support front office operations to ensure efficiency and professionalism
  • Follow HIPAA and office policies while maintaining patient confidentiality

Qualifications

  • Experience: Minimum of one year of medical front office experience required (Dermatology, Plastic Surgery, Cosmetic Surgery, or Medical Spa experience strongly preferred)
  • Education: Bachelor's degree
  • Technical Skills: Experience with EMR systems and proficiency in Microsoft Office and Google Workspace
  • Communication: Excellent verbal and written communication skills with a patient-first mindset
  • Organization: Strong attention to detail with the ability to multitask in a fast-paced environment
  • Knowledge: Familiarity with medical terminology, insurance verification, prior authorizations, and scheduling
  • Professional appearance, reliability, and a positive attitude

Preferred Qualifications

  • Experience with NextGen EMR
  • Dermatology or Plastic Surgery office experience
  • Knowledge of cosmetic consultations and scheduling
  • Bilingual (Spanish) is a plus
