What we need:

The Plant Operations Associate serves as the first point of contact for visitors and clients, providing exceptional customer service and administrative support to ensure smooth and efficient front desk operations. Additionally, to support the HR and Operations teams with various administrative tasks, contributing to overall organizational efficiency and a positive workplace environment. 

 
What you'll do: 

Greet and assist visitors, clients, and vendors in a professional and friendly manner. 
Manage and coordinate tour requests for clients or visitors as needed. 
Monitor and manage front gate operations, including visitor check-in, issuing badges, and verifying access.

Answer and direct incoming phone calls, take messages, and manage voicemail systems. 
Maintain the front desk area, ensuring it is clean, organized, and presentable at all times. 
Receive, sort, and distribute incoming mail and deliveries; prepare outgoing mail and packages. 
Schedule appointments and manage meeting room bookings. 
Manage and maintain office supplies inventory; place orders as needed. 
Provide general administrative support including filing, data entry, scanning, and copying. 
Escalate breakroom issues as necessary regarding stock levels of food and drinks. 
Escalate housekeeping/cleanliness issues with our janitorial service as needed for entire facility. 
Assist HR with onboarding tasks, including preparing welcome kits and scheduling orientations. 
Help coordinate employee events, trainings, and meetings in collaboration with HR and Operations. 
Support Operations with tasks such as vendor coordination, facilities requests, and internal communications. 
Manage use of company vehicle requests. 
Respond to internal and external inquiries with accuracy, professionalism, and timeliness. 
Uphold confidentiality and handle sensitive information with discretion. 
Perform other tasks assigned by management. 

What you have: 

Bilingual - Spanish-speaking required; ability to communicate effectively with Spanish-speaking clients and employees. 
Proven experience in a receptionist, administrative assistant, or front desk role. 
Familiarity with basic HR functions such as onboarding, recordkeeping, and employee communications.

Understanding of office operations and standard administrative procedures. 
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace. 
Experience using office equipment (e.g., multi-line phone systems, printers, scanners). 

Knowledge of scheduling tools and basic calendar management. 
Exposure to HRIS or employee management systems is a plus. 
Basic understanding of confidentiality requirements in handling HR and company information.

Comfortable coordinating with vendors, facilities staff, or external service providers. 
Strong written and verbal communication skills. 
Ability to manage multiple priorities and remain organized in a fast-paced environment.

Customer service experience or client-facing role background is highly desirable.
