POSITION PURPOSE

The Patient Care Advocate & Treatment Coordinator serves as the bridge between the patient, surgeon, and clinical team following consultation.

This individual is responsible for presenting treatment plans, educating patients on recommended care, coordinating insurance and financial arrangements, scheduling treatment, and ensuring an exceptional patient experience throughout the surgical journey.

Success in this role requires emotional intelligence, strong communication skills, attention to detail, financial coordination expertise, professionalism, and a genuine passion for helping patients receive the care they need.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Patient Advocacy & Treatment Acceptance

Present treatment recommendations with confidence, empathy, and professionalism.

Educate patients regarding procedures, expected outcomes, treatment timelines, and next steps.

Help patients understand the value and importance of recommended treatment.

Address patient concerns and questions while building trust and confidence.

Maintain ongoing communication with pending treatment opportunities and unscheduled patients.

Support treatment acceptance initiatives through education, follow-up, and exceptional patient service.

Create a welcoming, compassionate, and professional experience for every patient.

Financial Coordination & Insurance

Verify insurance benefits and communicate coverage estimates clearly and accurately.

Present patient financial responsibility and available payment options.

Assist patients with financing applications and payment arrangements.

Collect deposits and payments in accordance with practice policies.

Ensure financial arrangements are completed prior to treatment.

Maintain a thorough understanding of insurance guidelines, financing programs, and practice policies.

Scheduling & Care Coordination

Coordinate surgical appointments and treatment timelines.

Ensure all required documentation, referrals, pre-authorizations, and medical clearances are obtained.

Provide detailed pre-operative and post-operative instructions.

Collaborate closely with surgeons, clinical team members, and administrative staff.

Maintain efficient scheduling practices that support both patient care and practice performance.

Administrative Excellence

Maintain accurate documentation within practice management systems.

Track treatment plan follow-up, pending treatment opportunities, and patient communication.

Support production, scheduling, and practice growth initiatives.

Maintain compliance with HIPAA and all regulatory requirements.

Contribute to continuous process improvement and operational excellence.

MINIMUM QUALIFICATIONS

Required

Minimum two years of dental, oral surgery, specialty healthcare, or treatment coordination experience.

Experience discussing financial arrangements and insurance benefits.

Strong communication, customer service, and relationship-building skills.

Excellent organizational skills and attention to detail.

Ability to work effectively in a fast-paced environment.

Proficiency with dental practice management software and Microsoft Office applications.

Reliable transportation and dependable attendance.

Preferred

Oral surgery treatment coordination experience.

DAANCE (Dental Anesthesia Assistant National Certification Examination) Certification strongly preferred.

OMSA (Oral and Maxillofacial Surgery Assistant) Certification preferred.

Experience presenting complex treatment plans and financial arrangements.

Knowledge of dental implants, bone grafting, wisdom teeth removal, and oral surgery procedures.

Bilingual Spanish preferred.
